The Department of Revenue (DOR) is seeking to fill an Administrative Assistant 5 to support our Working Families Tax Credit (WFTC) division. The selected candidate will provide administrative support to the Division’s leadership.

In 2021, the Washington Legislature passed Engrossed Substitute House Bill 1297 which expands eligibility and funding for the Working Families Tax Credit program. DOR will administer the program. The program provides up to a $1,200 annual refund to eligible low-to-moderate income individuals and promotes the public policy objectives of stimulating local economic activity, advancing racial equity, and promoting economic stability and well-being for low-to-moderate income workers. This position will support the Division’s leadership as they build and administer the Working Families Tax Credit program.

Duties

We are looking for:

An experienced administrative professional who projects a positive attitude, encourages collaboration, and enjoys working as a team to meet and exceed expectations.

You will serve as the principal and confidential assistant to the Assistant Director and team members, with the authority to advise and act in the absence of the Assistant Director in delegated administrative areas. This includes the responsibility to ensure division policies and procedures on administrative issues are effectively communicated to division staff. You will also assist the division with complex and highly confidential issues, projects, and other programs as appropriate.

More of what you will do:


  • Maintain the Assistant Director's complex calendar and demanding schedule.
  • Coordinate and/or participate in the scheduling of divisional meetings, trainings, and committees.
  • Co-support the division’s Administrative Assistant 3 with various administrative functions including travel and purchasing.
  • Support the program’s outreach efforts, which may include coordinating outreach events and organizing committee meetings and external stakeholder engagements.
  • Monitor all aspects of division's budget.
  • Prepare and edit briefings and correspondence for internal and external communications.
  • Undergo training to properly collect data, create graphics, and update existing dashboards.
  • Counsel and advise managers and employees on personnel actions.
  • Coordinate the division’s recruitment and hiring activities.
  • Represent the division on various agency committees.
  • Communicate agency level decisions and monitor implementation.
  • Assist with identifying opportunities to advance the division through professional interactions and collaborative partnerships.
In-office Schedule
This position has telework flexibility. Although some remote working is allowed, this position is expected to work in the office several days per week, depending on business needs.

Qualifications

We are looking for candidates who have the following:

One year of experience as an Administrative Assistant 4

OR

Two years of experience as an Administrative Assistant 3

OR

A Bachelor's degree in business administration, public administration or closely related field AND three year of administrative experience.

Note - Additional qualifying experience may substitute for education on a year-for-year basis.

Preference will be granted to those that possess the following knowledge, skills and abilities:


  • Exceptional and speedy editing skills (grammar and spelling).
  • Business writing skills.
  • The ability to create, schedule and manage presentations, meetings and events with a virtual platform.
  • The ability to summarize information using plain talk techniques.
  • Knowledge and experience in project management or organizational development.
  • Knowledge of quality control techniques and performance measures.
  • Knowledge of state government organization and administrative procedures.
