POSITION DETAILS
Part-time with benefits; 48 hours in the two week pay period; Monday through Friday day shift from 7:30am to 3:30pm.
JOB SUMMARY
Clerical
Under the supervision of the Registered Nurse (RN), performs a variety of clerical duties associated with patient care unit operations. The Ward Secretary (WS) will comply with objectives, standards and policies of the department and within the parameters of his or her preparation. Cooperates with the members of the Tomah Health staff, and external facilities.
Clinical
Under the direct supervision of an RN, the WS performs assigned nursing care functions following hospital and nursing standards under the general supervision of the clinical director.

MAJOR JOB FUNCTION

Clerical

  • Maintains an orderly and businesslike environment.
  • Performs clerical duties including coordinating arrivals, answering phones, entering electronic data, reviewing orders/chart for incomplete and/or missing documentation needed for patient referrals and/or patient care.
  • Initiates and/or follows up on referrals, prior authorizations, and scheduling of appointments.
  • Demonstrates proficiency in regards to the computer documentation in multiple systems.
  • Supports the healthcare team by anticipating and responding to team requests and patient needs. Works closely with the nursing staff, pharmacy, and prior authorization staff to coordinate care.
  • Responds promptly and courteously to phone calls, demonstrating appropriate etiquette, with an emphasis on customer service and follow through.
  • Conveys messages (e.g. electronic, verbal, and written) promptly to the patient and all individuals interacting with the patient and health care team.
  • Utilizes patient call system promptly, appropriately and according to department provided training, per patient care unit. Focuses on timeliness of response and brings request to the attention of the staff.
  • Demonstrates the ability to obtain, monitor quantities, and verify accuracy of forms, supplies and equipment received and takes steps to ensure they are in working order.
  • Communicates pertinent information regarding departmental issues and concerns to the department director or other appropriate person(s).
  • Maintains professional expertise by attending staff and in-service meetings, 80% attendance required.
  • Willing to identify problems, participate in problem solving process, evaluate suggestions, and open to feedback to enhance professional growth.
  • Accepts reassignment as needed to provide necessary coverage for all patient care units.
  • Performs other duties as assigned or directed and within the scope of abilities.

Clinical

  • The WS will always functions under the supervision of the RN.
  • Performs phlebotomy procedures, including venipunctures and finger sticks on all types and ages of patients and completes related documentation with proper training.
  • In the event the employee is a Certified Nursing Assistance (CNA), they will always function under the direct/indirect supervision of the RN. They may perform tasks within the CNA scope of practice and/or per competency completed.
  • In the event the employee is a Licensed Practical Nurse (LPN), they will always functions under the direct/indirect supervision of the RN. Direct supervision means immediate availability to continually coordinate, direct and inspect firsthand the practice of another (N6.02 (6) WI Adm. Code). The Registered Nurse may delegate any act within the scope of professional nursing to the LPN, providing the RN does the following:
  • Delegates tasks commensurate with educational preparation and demonstrated abilities
  • Provides direction and assistance
  • Observes and monitors the activities
  • Assess and evaluates the effectiveness of acts performed
  • The LPN shall not perform the functions of patient assessment, receive verbal MD orders, ordering prescriptions or provide initial education.

EDUCATIONAL REQUIREMENTS

  • Certified Nursing Assistant (CNA) or higher licensure
  • Current certification or eligibility to become BLS certified.
  • High School graduate or equivalent required.

PREFFERED EDUCATIONAL QUALIFICATIONS:

  • Licensed Practical Nurse (LPN)
  • Phlebotomy or lab experience
  • Medical terminology knowledge
  • Working knowledge of prior authorization and referral process

QUALIFICATIONS/SKILLS

  • Excellent verbal and written communication skills.
  • Excellent computer skills.
  • Excellent human relation skills as demonstrated by the ability to interface positively with all customers and employees.
  • Must acquire the knowledge and maintain established competency levels to perform all other essential duties.
  • Must have proficient computer skills with the ability to operate within a Windows environment.
  • Must have the ability to work with frequent interruptions, under stress and with minimal supervision.
  • Needs to possess as high level of intelligence and integrity, sense of responsibility and ability to comprehend and analyze details.
  • Ability to operate and handle many kinds of complex equipment.
  • Ability to demonstrate clinical competence and maintain current knowledge in caring for infant through geriatric patients.

JOB REQUIREMENTS

  • Regularly required to use hands to finger, handle or feel objects, and talk and hear.
  • Frequently required to sit, stand, walk and reach with hands and arms.
  • Occasionally required to climb or balance, stoop, kneel or crouch.
  • Occasionally lift and/or move up to 50 pounds.
  • Good hearing is necessary to receive detailed information through oral communication and to make fine discriminations in sound.
  • Visual acuity is needed to assess color changes, to verify accuracy of written materials.
  • Computer/keyboard skills required. Must have the ability to operate in a Windows environment.
