TITLE
: OFFICE PROFESSIONAL 5 - TOPA

Positions included: MS/HS Attendance; HS Career Center; HS Secretary

QUALIFICATIONS: High School diploma or equivalent; Criminal Justice Fingerprint Clearance. CPR/First Aid certificate, AA degree or a minimum of three years’ job related experience with increasing responsibility preferred.

POSITION SUMMARY: Assists in one or more of a variety of secondary school clerical or district office support environments. Primary responsibilities may include, but are not limited to, front office operations, secretarial support, reception activities, preparation of documents for school communications, student attendance reporting at the secondary level, college/career readiness support and department support. Essential functions may vary at the elementary, middle, high and district levels.

ESSENTIAL FUNCTIONS:

  • Greets visitors, staff and students and provides direction, guidance and assistance
  • Composes documents for the purpose of communicating information
  • Prepares and processes written materials for the purpose of conveying information regarding school and/or district activities and procedures
  • Directs, supervises and manages students as needed
  • Proficiently operates within the school database system including data gathering and sorting
  • Enters and updates computer records
  • Evaluates situations or emergencies for the purpose of taking appropriate actions and/or directing to the appropriate personnel for resolution
  • Places and receives telephone calls and records messages
  • Maintains calendars and schedules for administrator(s) and building; may manage facility use
  • Maintains, files and records student attendance data
  • Assists students, teachers and parents with attendance questions
  • May create and maintain discipline files
  • May maintain volunteer records
  • Assists with all aspects of collection, processing and reporting requirements for student graduation, test scores and yearly GPA information
  • Assists with organization of all senior activities
  • Communicates and tracks community service opportunities and hours
  • Monitors assigned activities and/or program components for the purpose of ensuring compliance with graduation requirements
  • Maintains a schedule of appointments for college admission, military and service organization representatives and arranges on site mini-interviews, multi-disciplinary teams and other meetings as required
  • Maintains day to day office operations and orders supplies as needed
  • May assist specialized staff by providing support services, including budget
  • Attends meetings as assigned for the purpose of conveying and/or gathering information required to perform functions
  • Establishes and maintains positive working relationships with community members, staff and students
  • May provide basic first aid for students for the purpose of meeting their immediate health care needs, as needed
  • Fulfills the responsibilities of an OP III or OP IV in their absence
  • Performs any other building generated duties as necessary
  • Must be able to perform the essential functions of the job with or without reasonable accommodation
