Job Description:

We are seeking a highly organized and proactive Executive Administrative Assistant to join our team. As an Executive Administrative Assistant, you will be responsible for independently performing day-to-day tasks in alignment with our management systems. Your role will involve various administrative duties, including facility management, security oversight, client visit management, audits, and other administrative responsibilities.

Responsibilities:

  • Manage all aspects of facility management, including security requirements, housekeeping, material movement, front office management, inventory management, and compliance management.
  • Ensure the optimum functioning of all security and access control systems, including monitoring CCTV coverage, analyzing security systems data, and generating reports.
  • Coordinate and make necessary arrangements for client visits, including meeting room arrangements, cleanliness, and catering services.
  • Ensure audit readiness of the location by enforcing company policies, complying with statutory requirements, and building codes.
  • Maintain compliance with work environment guidelines, health, safety, and environment (HSE) guidelines, and conduct fire safety and health safety briefings and drills.
  • Collaborate with property managers to ensure a conducive working environment and compliance with statutory and building guidelines.
  • Maintain availability of safety and security equipment, as well as other office systems and equipment.
  • Coordinate with internal and external stakeholders, including TCS senior executives, to understand project requirements and address administrative needs.
  • Establish and maintain effective relationships with landlords and other stakeholders to fulfill organizational requirements.
  • Prepare management information system (MIS) reports for expenses, seat occupancy, seat management, budgeting, provisioning, etc.
  • Assist in the preparation of annual and quarterly budgets, monitor budget utilization, and manage invoice payment processes.
  • Ensure valid agreements are in place with all vendors and maintain compliance with relevant policies.
  • Be present on-site during working days to ensure effective administration of the premises.
  • Perform any other administrative tasks as directed by the Admin Head.

Qualifications and Skills:

  • Associate degree required; bachelor's degree preferred.
  • 5-10 years of experience in an administrative function, preferably in a medium-sized facility (> 300 associates).
  • Excellent English communication skills, both written and verbal.
  • Proficiency in Microsoft Office, especially Word, Excel, and PowerPoint.
  • Knowledge of office management and maintenance activities, safety and fire control systems, physical security system integration with IT security policies, personnel management, purchase/procurement processes, and finance/accounting processes.
  • Strong organizational, planning, analytical, and problem-solving skills.
  • Quick decision-making capability with the ability to work independently.
  • Proactive, self-motivated, flexible, and adaptable to changing priorities.
  • Professional demeanor and ability to multitask in a fast-paced environment.
  • Good interpersonal skills and ability to work effectively in a diverse multicultural environment.
  • Accessible via phone for any emergent requirement at the location.
  • Willingness to work outside regular business hours if needed.
