Pediatrics Northwest is looking for a Support Services Assistant Manager to join our team. The primary function of this position is to support the daily operations of the front office of Pediatrics Northwest including the phone center, HIM, front desk receptionists, and file clerks. The Support Services Assistant Manager will work under the direction of the Director of Support Services.

Essential Functions
(included but not limited to):

  • Maintains the functionality of the equipment and aesthetic appearance of the reception area.
  • Helps manage appointment templates to ensure proper patient flow and adequate availability of appointment slots.
  • Ensures compliance with current healthcare regulations, medical laws, and high ethical standards.
  • In coordination with Operations and Human Resources, develops and implements office policies and procedures for support services employees.
  • Acts as a liaison with doctors and clinical employees to identify potential office dysfunctions.
  • Ensures appropriate staffing and scheduling of support services employees.
  • Manages employee time off requests and maintains attendance records.
  • Provides training to support services employees.
  • Collaborates with the Director of Support Services & Director of Clinical Operations to make decisions, set goals, and implement plans acting in the best interest of employees, patients, and providers.
  • Monitors the professional development of the phone center employees by providing regular training, individual feedback, performance evaluations, and counseling.
  • Monitors office call volume and assists with answering calls and voicemails.
  • Analyzes call data using phone system reporting.
  • Analyzes staffing patterns with Human Resources. Collaborates with the human resources department on recruiting, selection, and orienting/training.
  • Responds to all patient complaints and suggestions involving scheduling issues and communicates issues to appropriate PNW Leadership. Follows through to resolve issues and utilizes process improvement and/or disciplinary actions to prevent reoccurrence.
  • Approves scheduling accommodations for patients and monitors the scheduling of incoming specialty referrals.


Qualifications:

  • 3 years in a medical office setting
  • 1 year in a leadership or supervisory role.


Schedule:

  • Monday – Friday, Full-time position (40 hours a week)
