ABOUT THE SCHOOL/DEPARTMENT


The Student Engagement Office is a part of the Family, School, and Community Partnership Division. The Office provides direct support in the areas of Dropout Prevention and Reengagement, which includes GED+ Programs and Truancy Court, Native American Education Programming supporting our Native American and Indigenous Students, and Child Welfare Programming supporting students who have experienced foster care or out of home placement.


The Office continuously innovates programming to support students' well-being and to ensure safety nets exist to help students complete high school.

ABOUT THE JOB


This position acts as an office manager in supporting the Director of the Student Engagement Office and leadership team. This includes managing a variety of funding streams to include state and federal grants. This position is a key part of our team and is often relied on as a culture champion, thought partner, and collaborator. We are looking for someone who is organized, hardworking, can establish rapport and relationships with staff, students, and families, has experience with PeopleSoft financials and HR, and has a great sense of humor.

PRE-EMPLOYMENT REQUIREMENT


The successful new hire or rehired candidate will be responsible to complete and incur the fingerprinting and processing fee of $54.50 through an appropriate fingerprinting vendor and the Colorado Bureau of Investigation, within 48 hours of offer acceptance.

RESPONSIBILITIES


SUMMARY: Provide lead support to and organize multi-faceted functions of the Department related to Diversity and Inclusion; Indian Education; Fostering Opportunities; Dropout Prevention and Reengagement; and other programs. Outreach to students who have dropped out of Jeffco Schools to motivate and assist them in reengaging in a pathway. Perform financial and technical functions; website updates; and general office duties. Act as a resource for District teachers and staff by answering questions responding to routine and special issues that cross departmental, school, and other agency lines. Involves multitasking to ensure that all job duties are completed while maintaining a high customer service standard so that teachers, parents/families, principals, and all other employees have their needs met in an efficient, friendly manner.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties as assigned.

Support and maintain an organized, welcoming, and helpful office environment by assisting customers, students, parents, guardians, and District and school-based staff with department-related issues and questions. Manage filing systems, electronic documents; and file, gather, create, and organize materials as necessary. Manage multiple calendars for administrators. Format and create templates for organizing resources and data collection.

Act as the first point of contact with questions and concerns relating to the Student Engagement Office by answering the main phone line and helping walk-ins. Provide information, problem solve when possible, and refer to subject matter experts when necessary.

Assist with the coordination of outreach to students who have dropped out of school and provide information and attempt to reengage them in their education. (This position ensures over 800 contacts are made with students who have dropped out of school.)

Working with Budget Analyst, prepare budget pages including NVision, PeopleSoft, and financial data; additional pay; independent/consultant contracts; purchase requisitions/orders; pay vendor invoices; and inventory and order office supplies.

Track and keep ETAP data current and use data to inform purchase decisions. Keep track of equipment for all Student Engagement Department staff. Analyze and merge data and information into spreadsheets for department work.

Compose and proofread memos, letters, flyers, newsletters, update websites (Google, District Web Page, etc.) and brochures for distribution to parents, departmental staff/District administration, schools, and outside agencies. Research, gather information, and process multiple professional development trainings in ESS.

Provide customer service and public relations to a diverse population. Initiate problem-solving in absence of administrators.

Maintain Student Engagement mail pickup/deliveries, all copier machines, faxes, and printers. Order supplies needed for all Student Engagement Department personnel and maintain inventory.

Disburse and monitor office budgets; pay invoices; process additional earnings and time and labor reporting; and other budget related tasks, including managing District purchasing cards for administrators and internal and external auditors. Maintain and track requisitions and purchase orders. Perform and maintain confidential financial related functions for management of grants, and office budgets.

Responsible for maintaining and adjusting Director's and Manager's calendars. Prepare documents for Director and Manager including statistical reports, training documents, flyers, mailings, meeting minutes, and other documents.

Responsible for mailing contracts, paying accounts, contractors, and processing journal entries. Monitor additional earnings and substitute usage for all schools as it pertains to in-services/trainings. Responsible for all travel arrangements for Student Engagement staff.

Order and maintain materials, supplies and books for specific needs of staff related to Student Engagement professional learning trainings across the District. This may require some travel to deliver materials, setup and attend events. Coordinate events including Youth Mental Health First Aid by scheduling facilitators and rooms; preparing and ordering materials; and entering and validating classes, rosters, and attendance in ESS. Schedule facilitators for workshops; coordinate ordering/printing; distribute/monitor materials; prepare handouts; locate and reserve rooms for multiple meetings and facilitate registration.

This position requires some nights and weekends to support community events and student reengagement opportunities.

Maintain e-mail and voice mail distribution lists for specific staff and administrators. Update and monitor staff database regularly. Receive/sort incoming and outgoing mail, respond to and assist with appropriate course of action.

Implement all paperwork and transactions pertaining to the hiring of District personnel for the department including: requesting position creation, creating and monitoring job postings; submitting background screening requests; submitting the job offer to HR for approval; and I-9 verification. Coordination of interviews including job descriptions and questions for hiring Student Engagement personnel and submitting position changes/terminations.

Revise/update and maintain the Student Engagement external and internal website for administrators, teachers, secretaries, and community.

Coordinate with Director and Manager to design and disseminate timely communication to appropriate audiences. Support the Director, Manager and Student Engagement staff by setting appointments and attending appropriate meetings.

Analyze, track data, and prepare reports for multiple spreadsheets in a manner that allows for documenting student reengagement efforts and appropriate reporting data to Colorado Department of Education and other state agencies. Serve as a backup for other administrative duties in the Student Engagement Department and perform other duties as assigned.

Assist schools in meeting their obligations to adequately document reengagement interventions for students who have dropped out of school.

Act as a resource to students on graduation requirements and resources available to obtain non-traditional high school diploma and high school equivalency diploma.

Act as a resource to school staff, students, families, and community agencies for resources related to issues effecting student engagement to school (e.g., substance abuse and counseling resources).

Proctor students who are completing exams for credit recovery or high school equivalency practice tests.

Maintain confidential records on students.

Other duties as assigned.

EDUCATION AND TRAINING: High school diploma/GED required, plus technical courses in secretarial, business, accounting, office management, and computers.

EXPERIENCE: Three plus years' of experience in business management, direct support of Executive Director/Director level, and knowledge of District policies. Ability to proficiently manage and carry out duties and responsibilities including managing independent projects. Have effectively cross trained (and routinely initiate practice sessions) with other Directors technicians.

SKILLS, KNOWLEDGE, & EQUIPMENT: Requires excellent oral and written communication as well as organizational and office management skills. Ability to problem solve; use good judgment and diplomacy; and to work effectively under pressure with a high level of confidentiality and flexibility. In-depth knowledge of District policies and procedures and organizational structure. Experience in Google application, Microsoft Office (Word and Excel), and Outlook Client. Working knowledge of accounting procedures. Ability to handle multiple tasks and deadlines. Ability to maintain confidentiality in all aspects of the job and to take necessary training to maintain skill level. Proficiency of PeopleSoft Financial and Human Resources systems.

SUPERVISION/TECHNICAL RESPONSIBILITY: This position has no supervisory responsibilities.

CONTACTS: Daily contact with persons within/outside department/building, administrators, schools, parents, and District advisory committees to maintain relationships; the general public to furnish/obtain information, resolve problems and maintain relationships. Contact with vendors/suppliers, Charter/Option Schools, Colorado Department of Education, and state agencies to obtain/furnish information and resolve problems. Contacts regard routine matters that are somewhat sensitive involving problems and confidential information or data.
