The Document Control Specialist reports to the Document Control Supervisor. The Document Control Specialist works closely with the Design Coordinator, Engineering Records Analyst, the Engineering Records Specialist, and the Project Manager, on multiple projects, to coordinate the acquisition and organization of project documentation within the Company’s Records Management System. The Document Control Specialist accomplishes this by providing guidelines and company standards to third party engineering contractors on the organizational format of the required information, working closely with the Project Manager to define required records for retention and ensuing all necessary project documentation is collected, filed, and easily searchable. Candidate must have proven experience and skill in interdepartmental communication, expediting workflow, and meeting project deadlines as it relates to engineering documentation and recordkeeping requirements.


The primary responsibilities of the Company’s Document Control Specialist shall include but not limited to:

  • Facilitate project document management as necessary to ensure the successful collection and organization of all project-related documentation. Detailed items shall include:
    • Initiate the project record effort by ensuring the appropriate guidelines are available, understood, and implemented for the project.
    • Assist the Project Manager in the establishment of a list of the required project record items at the onset of the project.
    • Manage the ongoing exchange of project-related drawings and documentation.
    • Provide distribution routing of documentation for review, per instructions provided by the Project Manager
    • Finalize the closeout of the project record effort by reviewing the records for completeness, working with the Project Manager to resolve any outstanding items, and signing the Project Records Completion Check List
    • Organize and maintain the storage and archiving of completed project records.
    • Coordinate the availability, reproduction, distribution, and archiving of project documentation.
    • Provide audit support by locating and providing requested documentation to satisfy regulatory requirements.
  • Provide assistance in the accessibility of Project documentation by performing the following functions:
    • Provide guidance to enhance the ability of others to obtain required information through the use of departmentally developed tools and methods.
    • Administrative handling of Project Record Development, including (but not limited to) the following: Receiving records, consulting with Project Manager on required processing, processing received records, ensuring project records are available within the Company’s Project Records Repository (including drawings), and providing project drawings to the Engineering Records Specialist.

Qualifications


The successful candidate will meet the following qualifications:


  • A minimum of a high school diploma or G.E.D. equivalent is required.
  • Formal training or equivalent experience in document management software, processes, methods, or systems is required.
  • Proficiency in computer keyboarding is required.
  • Strong computer skills, with specific knowledge of Microsoft Outlook, Excel, Word, and Access is required.
  • Drafting Skills utilizing AutoCAD is preferred.
  • Technical aptitude in the use of reproduction equipment and methods is required.
  • Five years relevant work experience in a Project Management / Project Engineering environment is preferred.
  • Proficient level of knowledge of typical content, organization, and format of Engineered Project Documentation
  • Working knowledge of OSHA, DOT, RR Commission, Operational/Safety, etc., mandates which drive the requirements for Engineered Project Documentation, is preferred.
  • Professionalism, attention to detail and proactive customer service mentality are a must.
  • Diplomatic and effective written and verbal communication is required.
