Seeking an experienced, organized Coordinator to spearhead our clients Conference & Production Services calendar/communications.

Summary Conference & Production Services is a diverse and nimble team that operates the clients Conference Center schedules.

We're seeking an experienced Coordinator with great communication skills and a can-do attitude to support the efforts.

Key Qualifications:

  • 3+ years' experience as an event and meeting coordinator
  • Strong attention to detail and critical thinking skills.
  • Able to analyze situations, develop creative solutions, and see around corners to anticipate (and solve for) problems.
  • Superior communication skills, with an ability to summarize and share relevant information in a clear and easy-to-understand way, across all levels. You are poised and skillfully communicate to develop trust and strong partnerships.
  • Strong project management skills.
  • Track record delivering high-quality results, with minimal direction, in an environment where expectations are high and timelines are challenging.
  • You have excellent time management skills, and can multi-task and establish priorities.
  • You don't need to be reminded to follow-up and follow-through.
  • Able to remain flexible and prepared for changes to the schedule
  • Act with a sense or urgency and quickly respond to emails, texts, and phone calls in order to provide a high standard of service to customers and colleagues.
  • Description You'll collaborate with the team and customers to manage space reservations and coordinate events, while adhering to Conference & Production Services' policies and best practices.

The team handles everything from basic room reservations to large, outdoor celebrations. You'll learn to use the clients reservation tool, handle all aspects of coordination, including space reservations, calendar management, work orders for facility needs (e.g., furniture setups, janitorial, electrical, etc.), and event set-ups/ oversight.

You'll also act as the Facilities point of contact for events, pulling in partners for support and providing visibility about events. You'll collaborate with many teams to ensure success, including Environment Health & Safety, Security, Maintenance Ops, Interior Services, Security, People, and others.
