POSITION PURPOSE
The Department of Medicine has an outstanding opportunity for a full-time Shared Services Specialist. This new position will be responsible to work in the new centralized shared environment(service) across the Department of Medicine that will be operational July 2023 with the launch of Workday financial system at UW to support key business processing including purchasing, travel and expense reimbursement, external invoicing, journal vouchers and grant close out process. Work will be organized in a support service model that is accountable to the 13 Department of Medicine divisions and business units for each major business process workstream, which will be organized into smaller working groups dedicated to specific departments or units.

The Department of Medicine is the largest department in the School of Medicine (SoM) with over 4500 staff, faculty, trainees and students and an annual budget of approximately $500,000,000 consisting of patient care revenue, sponsored research funds, endowments and gifts, state funds and affiliated hospital funding associated with the academic programs within the department. The department is made up of thirteen subspecialty divisions: Allergy and Infectious Diseases; Cardiology; Dermatology; Gastroenterology; General Internal Medicine; Gerontology & Geriatric Medicine; Hematology; Medical Genetics; Metabolism, Endocrinology and Nutrition; Nephrology; Oncology; Pulmonary, Critical Care and Sleep Medicine; and Rheumatology. These divisions occupy space at multiple sites including University of Washington Medical Center (UWMC), Harborview Medical Center (HMC), Veterans Administration Puget Sound Health Care System (VAPSHCS), Puget Sound Blood Center (PSBC), Fred Hutchinson Cancer Research Center (FHCRC), Seattle Cancer Care Alliance (SCCA), and other locations in the Seattle area.

DUTIES & RESPONSIBILITIES
Shared Environment staff will need to become business process experts in designated business processes, including:

  • Support creation and approval of journal vouchers to support SoM business and reporting processes:
  • Support External Invoicing process.
  • Support FEC and or grant close-out business processes.
  • Support Purchasing (Non-Catalogue / blanket Purchase orders and large or complex purchasing requiring bid process or other complexity).
  • Support Travel and reimbursement compliance.
  • Other duties as assigned.
  • Will need to develop expertise to complete and approve transactions after completing compliance review of transactions routed through the Shared Environment.
  • Will look for repetitive errors or issues to share back to local units and or support training to improve accuracy for future transactions.
  • Will need to serve as business process expert to manage issues and questions raised by local units and to escalate to appropriate central offices.
  • Will need to be proficient working in a high volume shared environment.
  • Be able to work collaboratively with other shared environment team members and local unit’s staff from assigned departments or units.

    MINIMUM QUALIFICATIONS
    Bachelor's Degree and two years of work experience as a Fiscal Specialist, or equivalent combination of education/experience.

  • Previous experience at the University of Washington's, including grants management, preferably within the School of Medicine.

  • Proven analytic abilities; proactively research and resolve questions, discrepancies, and inconsistencies.
  • Self-starter with ability to apply good judgment and critical thinking skills and solve problems.
  • Ability to learn on the fly and to work with ambiguity.
  • Function independently with minimal supervision.
  • Strong ability to interpret and apply established policies and procedures.
  • Ability to identify discrepancies and suggest changes to internal procedures and policies.
