Job Title: Scheduler

Reports to: Lead Scheduler and Director of Clerical Services

Supervises: N/A

FLSA status: Non-Exempt


Summary Description

Expedites patient care by scheduling radiology patient exams accurately and efficiently.

Essential Functions

  • Answers telephone calls in the scheduling queue in a timely manner. Supports Lead in achieving departmental standard for wait times, work times, and abandonment rate.
  • Verifies insurance contract requirements when scheduling exams and reminds the patient of these requirements.
  • Verifies all patient demographical information.
  • Accurately schedules exams for the proper modality, time, machine, and Radiologist.
  • Effectively explains preps (actions a patient must take for a proper exam) to the patient, using terms the patient can understand. Verifies patient understands all prep instructions.
  • Provides back up to Scheduling clerical support responsibilities, such as clearing right fax and batching scripts into RIS system, verifying out-going faxes are successful and calling offices when clarification is needed.
  • Interfaces with Lead regarding any and all departmental concerns.
  • Attends staff meetings regularly and follows all company policies and procedures.

Business-specific knowledge: Knowledge of: Colorado Springs Radiologists, P.C. policies and procedures, business-specific software, safety regulations.

Industry-specific knowledge: Knowledge of: laws and regulations pertaining to medical records and patient confidentiality.

Ability to: work independently with minimal supervision; organize and prioritize work and complete within established, reasonable time frames; follow verbal and written instructions; establish and maintain professional working relationships with staff, physicians, management, patients and external contacts; pursue educational and training opportunities to continually add to personal and professional growth in knowledge, skills and abilities pertaining to this position; maintain strict confidentiality of patient, business and employee information at all times; exercise professional judgment and perform all duties in compliance with medical ethics and OSHA standards.


Education / Experience / Licensure / Certification: High School diploma or GED required. Demonstrated mastery of basic medical terminology to explain preps to patients.


Desirable or Special Qualifications: Some background in Medical Administrative field preferred.
