DEPARTMENT OVERVIEW

Earl Warren College is one of seven undergraduate colleges at the University of California, San Diego. Warren College is home to approximately 5,000 undergraduate students who may select any major offered by the university. The colleges are distinguished by their general education curriculum which at Warren encourages both depth and breadth, stresses the relationship between the individual and society, and includes two quarters of writing and ethics for most students. The staff provide programs and services that support the academic mission of the University by enhancing the educational, personal, cultural, and social development of students. POSITION OVERVIEW

Under general supervision of the Associate Dean of Student Affairs/Director of Residence Life, the Residential Life - Program Assistant is responsible for overall day-to-day functions related to office administration and programming support of the Warren Residence Life Office. The incumbent establishes and implements policies, procedures, and guidelines for fiscal and office matters pertaining to the Warren Residence Life Office in close collaboration with the College Business Office (CBO). Coordinates and shares judicial/conduct administrative load. The incumbent is advisory to several student organization and advisory groups and assists in various programming such as move in, welcome week and RA training. Coordinates and schedules the use of conference room facilities, and manages the Residence Life office email account and webpage and performs general clerical functions.

  • Occasional overtime may be required during opening and closing of residence halls throughout the year, including summer session when housed in Warren. Overtime needs to be approved by supervisor in advance.

QUALIFICATIONS

  • Demonstrated knowledge of residential housing operations in a university setting.

  • Proven ability to work with college students to implement and educational, cultural and social programs.

  • Proven experience with creating and tracking budgets related to programs and events. Experience purchasing goods and services related to programs and events.

  • Skill in independently researching, compiling, organizing, interpreting and selecting data and materials from various sources (including online sources). Skill to organize data into forms that are easily understood and logical for easy retrieval and references.

  • Demonstrated experience with business productivity applications including, but not limited to, Word, Power Point, Outlook, Publisher and Excel. Experience with or ability to quickly learn Content Management System (CMS) for website updates.

  • Skill in using general office equipment including laptop, desktop computer, projectors, fax machine, scanner, copy machine, etc.

  • Proven ability to initiate and track various issues and projects to completion. Ability to follow-up to ensure timely completion of projects.

  • Ability to organize and meet deadlines in a timely manner, deal with changing priorities and work well under pressure. Skill to coordinate high volume workload with frequent interruptions and conflicting priorities.

  • Ability to develop and organize systems for the management of student information, confidential files, and general office function.

  • Effective interpersonal and verbal communication skill with the ability to clearly, courteously, and diplomatically communicate information to a diverse group of people (including students, parents, staff, and the community) in person, on the telephone, and via e-mail in a professional manner.

  • Skill in training and providing work direction to student employees with administrative procedures.

  • Demonstrated ability to exercise independent judgment, discretion, initiative, tact and diplomacy in handling sensitive matters and maintaining strict confidentiality.

  • Demonstrated ability to work in a team environment, remaining attentive to ideas, recognizing responsibilities, and actively participating with others to accomplish assignments and achieve desired goals.

  • Proven ability to maintain acceptable work habits, demeanor, attention to details, punctuality and regularity of attendance.

Pay Transparency Act

Annual Full Pay Range: $33,900 - $66,962 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $32.07

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
