Job Title: Registration Representative


Reports to: Registration Lead, Director of Clerical Services

Summary Description

Performs Reception and Registration duties under the direction of a Lead Registrar. Represents the company in a professional, courteous manner while providing exceptional service and compassionate care to patients. Arranges for the efficient and orderly registration of patients, ensuring all required patient information is obtained and accurately entered into appropriate systems.

Essential Functions


Reception & Registration:

  • Promptly and courteously greets all patients in a professional manner. Hands out necessary paperwork per exam scheduled for completion by patient before registration.
  • Answers all telephone calls per company standards.
  • Verifies all exams to be performed. Checks scheduling notes for any pertinent instructions (call report, patient to take films, etc.). Verifies patient’s prescriptions, insurance cards, identification cards and any additional required forms are scanned appropriately into patient’s electronic chart.
  • Accurately collects and reviews all required demographic, insurance/financial and clinical data necessary to register patient.
  • Secures appropriate form signatures for consents, waivers, required services and financial documents, as applicable.
  • Relays information between patients and other staff members, providing them with updates as needed.
  • Dispenses and explains preps (instructions) for radiology exams per company protocols.
  • Releases medical records following outlined procedures.
  • Maintains the lobby area and front desk for professional appearance and efficiency.
  • Accepts and is custodian for cash and credit card payments from patients. Processes payments per established protocol.
  • Courteously and compassionately assists patients as necessary, which may include direct patient contact in dressing rooms, rest rooms, and assisting with entrance to and exit from the building.
  • May assist technologists with lifting and moving of patients, in absence of additional technologists’ help.
  • Maintains ethical working relationships/good rapport with other PENRAD Imaging departments and co-workers. Maintains professional and caring behavior toward all patients and visitors.
  • Schedules/reschedules patients for procedures using appropriate scheduling system as needed.
  • Interfaces with Lead regarding any and all departmental concerns.
  • Rotates between all PENRAD Imaging facilities as scheduled by Lead, if requested.
  • Attends staff meetings as requested and follows all company policies and procedures.

Business-specific knowledge: Colorado Springs Radiologists, P.C. policies and procedures, business-specific software, safety regulations.


Industry-specific knowledge: Laws and regulations pertaining to medical records and patient confidentiality.


Mastery:

Specialized equipment: Computer, knowledge of Microsoft Windows and other Microsoft desktop productivity software.


Abilities:

Ability to: work independently with minimal supervision; move between departments / locations as requested, organize and prioritize work and complete within established, reasonable time frames; follow verbal and written instructions; establish and maintain professional working relationships with staff, physicians, management, patients and external contacts; maintains professional appearance and demeanor: pursue educational and training opportunities to continually add to personal and professional growth in knowledge, skills and abilities pertaining to this position; maintain strict confidentiality of patient, business and employee information at all times; exercise professional judgment and perform all duties in compliance with medical ethics and OSHA standards.


Education/Experience/Licensure/Certification: High School Diploma or GED required. Previous experience in a customer service related position required. Basic Life Support (BLS) certification required prior to employment or no later than 90 days from hire date.


Desirable or Special Qualifications: Previous experience in a medical environment preferred.
