Enterprise Records and Health Information currently has an outstanding opportunity for a full time RECORDS ANALYST 1. This position is located in Sandpoint.

RESPONSIBILITIES:
Under the direct supervision of the Records Center Manager in Enterprise Records and Health Information (ERHI), the Records Analyst 1 is responsible for implementing the mission and goals of Enterprise Records and Health Information and incorporating information governance principles whenever appropriate. The Records Analyst 1 position performs Records Center information lifecycle duties for records in all formats, including tracking, circulating, and destroying medical and other UW Medicine records. The position ensures accurate data entry into database systems such as Versatile Enterprise (VE), and Request Tracker (RT) in an accurate and timely manner; utilizes VE scanners; reviews, edits, and runs reports; maintains necessary documentation regarding analysis and data entry decisions. Performs other duties or special projects as assigned.

Responsibilities include:
  • Performs Records Center information lifecycle duties for records in all formats, including data entry, labeling, shelving, pulling, moving records.
  • Delivering, and picking up records (including business records, medical records, and pathology records) from clients at UWMC ML, UWMC NW, HMC, and other UW Medicine entities and locations. Ensures and documents chain of custody for records delivered and picked up for storage at UW Medicine Records Center.
  • Reviews request to ensure compliance with institution/department guidelines and ensures records quality/integrity.
  • Enters and edits data in the records management software application (VE) in an accurate and timely manner; utilizes VE scanners; reviews, edits, and runs reports; maintains necessary documentation regarding analysis and data entry decisions.
  • Ensures the circulation of records to departments by following standardized circulation procedures, using VE and Epic database systems.
  • Assures security of confidential records, including PHI, tracks research requests for paper medical records/pathology slides/blocks.
  • Assists the Records Center Manager with onboarding of new staff and temporary workers in the Records Center.
  • Maintains physical arrangement, accurate organization of files and boxes (Including Slides and Blocks) and maximizes space utilization of the Records Center. Standardizes location terms in the Records Center to expedite pulling and returning of records.
  • Consults with clients and educates, as necessary, regarding how to request records. Prepares and reports on Records Center File metrics. Ensures accurate purge and disposal of records in the Records Center.
  • Performs other duties or special projects as assigned by the Records Center Manager or Professional Staff when the Records Center Manager is unavailable.

    REQUIREMENTS:
  • Bachelor's Degree and one year of experience in records management/records center work. Additional qualifying experience may be substituted, year-for-year, for required education. Formal records management training may be substituted for required experience.

    Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

    Additional Department Requirements:
  • One year experience using records management software and other database applications.
  • Experience with Microsoft Office Suite, including Excel and Outlook.
  • Experience in driving and loading vans.
  • Possession of a valid motor vehicle operator’s license.
  • Ability to maintain confidentiality.
  • Highly organized and methodical.
  • Ability to meet deadlines and work under pressure in a high volume environment.
  • Ability to work well in a team-oriented, collaborative environment.
  • Ability to work well in a service-oriented environment.
  • Ability to communicate and understand spoken and written English.

    Conditions of Employment:
  • Must be able to lift and transport boxes of up to 40 lbs. daily.
  • Must be able to lift and move boxes up warehouse stair ladders daily.
  • Must have a valid Washington State Driver’s License and must be able to drive a UW Fleet Van.
