POSITION SUMMARY

The Information Desk Receptionist is responsible for facilitating the smooth and accurate flow of information regarding hospital-wide services, location of patients, location of hospital departments, location of meetings, etc., ensuring excellent customer service to patients and visitors. The Information Desk Receptionist is a resource for the volunteers who are working at the Information Desk.

JOB QUALIFICATIONS

Education or Formal Training

High school diploma or equivalent preferred

Knowledge, Skill and Ability

  • Can accurately follow information flow systems
  • Can handle multiple tasks at one time
  • Has basic computer skills and knowledge of conducting basic web searches
  • Can communicate by phone
  • Can handle stressful situations
  • Can assess anxiety level of patients/visitors and handle appropriately
  • Can assess when back-up assistance is needed
  • Can role model excellent customer service
  • Can be a liaison with other departments for smooth flow of systems

Experience

  • Prefer minimum of 2 years’ experience in a hospital setting
  • Experience in customer service preferred
  • Experience working with varied personality types preferred
  • Experience in working with volunteers preferred

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Serves as the official greeter and is a knowledgeable advocate of the hospital.
    • Promptly and courteously greets and receives hospital patients, visitors, employees, physicians, vendors and other guests, using patient/customer name whenever possible.
    • When requested, contacts hospital staff member/department to confirm appointment/arrival of guest.
    • Assists with general inquiry and/or needs, gives directions and escorts (or delegates an escort) patients to their destination.
    • Answers incoming telephone calls promptly and responds to general inquiries about meetings, programs, and services, making appropriate referrals.
    • Maintains a positive, upbeat attitude, consistent with patient/customer-focused model of care, with a goal of providing individualized service.
    • Keeps abreast of changes and “what’s going on” at BCH and clearly articulates appropriate information.
  • Maintains Information Desk systems, ensuring accuracy and confidentiality for patient and other relevant information.
    • Maintains appropriate coverage at Information Desk.
    • Maintains accurate flower sign-in log and ensures follow up regarding any customer discrepancies.
    • Ensures cleanliness, orderliness, and safety of main entrance. Reports specific needs to appropriate department.
    • Maintains adequate supply of brochures and related information, as well as needed equipment (wheelchairs, etc.).
    • Monitors the environment of the lobby for good flow while caring for patient and visitor needs.
  • Verbally screen patients and visitors for COVID-19 Symptoms and apply BCH COVID-19 policies.

WORKING ENVIRONMENT/PHYSICAL ACTIVITIES

  • Able to maneuver patients/visitors of varied weights in wheelchair several times during a shift.
  • Able to maneuver flower cart.
  • Able to lift floral arrangements up to 20 lbs. several times/day.
  • Work and stand for extended periods of time.
  • Agility and accurate response as needs arise at front desk
  • Environmental conditions may include, but not limited to variations in temperature, noise and odors.
