Summary of Role and Function:

The Receiving Clerk is responsible for ensuring all product received from various vendors, including the purchase of Raw Material, Electrical goods, customer supplied material and outside services along with Work in Process to Finished Goods processing (WIP to FG), are conforming to acceptable standards.

Job Description:

Job descriptions establish expectations and performance benchmarks and always include three (3) main parts as a minimum; 1. Key Duties, 2. Key Responsibilities and 3. Key Qualifications.

Key Duties:

Job duties are the major or most important tasks to be performed by this position. The duties must be clear and specific of the work tasks to be performed and must include the periodic schedule that is required for each task such as continuous, daily, weekly, monthly, quarterly or on an annual basis.

1.1 Daily:

a. Arrives at work punctually and prepared for the 6AM meeting.

b. Attend the 6AM meeting along with other warehouse staff.

i. Includes a safety moment and immediate tasks for the morning such as hot repulls and jobs. (The Layout Attendance, {Priorities, Holiday Hours, Enforce duties, and contingency plans)

Perform visual inspection of all material upon incoming shipments prior to signing ownership from the various delivery services.

i. Report and note any visual damages on the receiving documents such as Packing Slips, Bill of Ladings, or any other type of delivery receipt.

ii. Process Claims with various shipping companies when needed to report any received damaged product/s.

iii. Receive any damaged or non-conforming material into “Inspection” in the Global shop ERP System using the Purchase Order (PO) Receipt module and physically place material in the Non-Conforming Area for further QC Inspection.

iv. Receive damaged product to Rejection once QC Inspection finds the product to be Non-Conforming

v. Print out Non-Conforming Material Report (NCMR), and place it in the Non-Conforming Area.

Verify product information against vendor supplied packing slip with purchase order information in the Global Shop ERP System. Information including:

i. Manufacture Part Numbers

ii. Vendor Part Number References

iii. EPD Stock Numbers

iv. Quantity of material on PO’s vs Quantities Supplied

v. Back Order Quantities

vi. Unit of Measure Conversions

vii. Descriptions

viii. Purchase to Job Material

ix. Outside Service Work Orders

Report any non-conformance or product inaccuracy upon product verification to the Purchasing department via, email, Global Shop ERP System using PO Receipt Module Receiver Text, and or Open PO Dashboard.

Receive All conforming product via Global Shop ERP System utilizing Open PO Dashboard in “Receiving” Mode.

Print and Attached generated audit trails to corresponding vendor supplied packing list upon finalizing the PO Receipt Process per packing list.

Adhere to inspection protocols developed by the Quality Control Department for improvement initiatives within our Incoming Inspection Process.

Receive All SE SAP PO’s into the SAP program using SE provided Laptops

Other duties as assigned by the Receiving Lead or WH Manager.

Key Responsibilities:

Job responsibilities are what this organization uses to define the work that needs to be performed by the position in a role and the functions, or a list of the burdens of obligations, the position is held accountable for that are within the position’s power and authority to control and manage.

a. Employee must be responsible for their own Safety.

b. Employee must read and fully understand the latest version of the Electronic Power Design, Inc. Employee Manual available on the PayChex website portal and in the Human Resources office.

c. Ensure parts are received accurately, quickly and efficiently into the Global Shop ERP System.

d. Ensure that all incoming inspection protocols are adhered to.

e. Ensure Global Shop ERP Receipt transactions are performed in real time with the highest degree of accuracy

f. Ensure that all SAP Receipt transactions are performed in real time with the highest degree of accuracy

3. Key Qualifications:

There may be a difference between the skills required to get the job and the skills required to perform the job. For example, even if our company requires candidates to have an engineering degree as a Prerequisite before our company hires them, the candidate may still need to be trained on the characteristics of the product and the tools used to produce the product. Therefore, the Job Description should also always identify the Knowledge, Skills and Abilities (KSAs) that each person needs to be successful in their job.

a. A list of required Prerequisites

i. Education

1. High school diploma or equivalent required.

ii. Training Certifications

1. Forklift Certification required.

iii. Applicable Experience

1. Minimum of 1 year receiving experience in a warehouse setting.

2. Minimum of 3 years of warehouse experience.

3. At least 1 year of experience in a manufacturing setting preferred.

4. Intermediate experience with ERP Systems and menu-based software.

b. A list of required Knowledge

i. An in depth understanding of the basic procedures/processes involved with the verification and inspection of incoming material.

ii. An extensive knowledge of warehousing especially in a manufacturing setting.

iii. Experience with working in shipping and receiving.

c. A list of required Skills

i. Excellent verbal, written and interpersonal communication skills is imperative.

ii. Intermediate skill in Microsoft Word and Excel.

iii. Must have a basic understanding of Microsoft Word Outlook.

iv. Intermediate skill in using ERP software preferred. (Global Shop Solutions ERP software system knowledge is a plus)

v. Excellent organizational skills to effectively perform multiple jobs, tasks and assignments.

d. A list of required Abilities

i. Ability to understand instructions in written, oral or schedule format and perform duties accordingly.

ii. Must be driven and hardworking.

iii. Ability to work independently with little supervision

iv. Ability to communicate orally and in writing with a variety of individuals.

v. Ability to pay close attention to detail and accurately perform daily job duties.
