The REACH Program of Evergreen Treatment Services works with individuals experiencing homelessness and behavioral health conditions to help them achieve stability and improved quality of life. Through outreach, relationships, advocacy and bridging gaps, REACH focuses on reducing harm and supporting healing. REACH provides outreach-based care coordination, multidisciplinary clinical services, and support to access and maintain housing. Job Summary

The REACH Inventory & Supplies Coordinator position directly contributes to fulfilling the REACH mission and to the success of all services by supporting all inventory and supply-related administrative functions at REACH. In collaboration with the REACH Operations Manager and other key staff, this position will help develop, implement, and manage a centralized system of resource and supply purchasing and inventory tracking and distribution. The Inventory & Supplies Coordinator will ensure that all supplies needed for client service activities are organized, available and accessible to all staff as needed to provide quality client care. This position will oversee the equitable distribution of supplies while ensuring detailed tracking and documentation.

The REACH Inventory & Supplies Coordinator must be exceptionally organized and detail-oriented, be able to navigate complex systems including creating and managing EXCEL spreadsheets/budgets, have excellent communication, math and analytical skills, and perform in an environment where interruptions are common. This position requires a resourceful problem solver who can support and adapt in a fast-paced environment. The REACH Inventory & Supplies Coordinator will provide resource support to all REACH staff and programs. This requires developing strong collaborative relationships with all REACH teams and being responsive to various material needs and requirements. The nature of this position is extremely independent, requiring creative thinking, excellent interpersonal relationships and conflict resolution skills.

Job Functions (may include):

  • Assist with developing a centralized purchasing function for office and client assistance supplies
  • Develop systems to meet supply chain objectives and manage inventory
  • Implement the storage, security, and tracking of inventory and supplies
  • Oversee every step of inventory management, from assessment of need, ordering, receiving shipments, reception of deliveries, organization, and cleanup.
  • Proactively address all inventory issues with an approach that emphasizes streamlining, organization, innovation, efficiency and cost-effectiveness
  • Ensure all documentation related to inventory flows is complete, accurate, and disseminated/stored correctly
  • Research potential vendors including establishing relationships to evaluate competing offers
  • Monitor stock levels and distribution to staff
  • Develop and maintain collaborative relationships with REACH programs and teams
  • Support the continuity of REACH’s business operations and infrastructure
  • Assure stewardship and security of financial and physical assets
  • Identify, analyze, and address gaps and inefficiencies in inventory processes
  • Solicit input from all departments to optimize and continuously improve inventory and service delivery
  • Monitor and survey trends, emerging technologies, issues, and approaches to supply management and inventory flows
  • Participate in operational quality improvement activities
  • Keep management apprised of all purchasing/inventory/distribution issues and concerns
  • Prepare and send reports to inform stakeholders of inventory and supply status, needs, and plans
  • Assist with developing annual operating/capital budgets, cost estimates, and schedules for inventory and supplies ordering
  • Review and understand Service Level Agreements and contracts with vendors
  • Coordinate with vendors and communicate with stakeholders about project status
  • Facilitate staff onboarding and continued skill development with inventory and supplies protocols through a variety of means: 1:1 coaching, group trainings, describing procedures, material development, etc.
  • Work cooperatively and interdependently with others; mentor and motivate staff to follow inventory and supply protocols
  • Provide excellent customer service to all stakeholders
  • Attend all required training and safety meetings; report all injuries and illnesses to supervisor immediately; complete and submit incident/accident reports as required; and follow all safety and health guidelines, practices, policies and procedures and actively support and participate in the Emergency Preparedness Program and tasks.
  • Documentation & Communication: Record procedures, create guides, and consult on decisions in alignment with REACH values, ethical standards and practices for organizational sustainability and collaboration
  • Monitor inventory data quality and synthesize results to demonstrate impact of quality improvement initiatives
  • Comply with applicable federal, state and local laws and regulations and contract requirements, ETS policies and procedures, including ETS Privacy, Security and Compliance policies and procedures, Code of Conduct, and the Federal Tort Claims Act (FTCA).
  • Other duties as assigned (for example, staff at REACH are expected to cooperate and assist in covering tasks when others are out due to planned or unexpected absences).
Requirements:

Qualification Requirements

Education

  • An undergraduate degree related to social services, behavioral health, business, or operations is preferred. Proven experience in an administrative role in a mission-driven organization may be considered as a substitution for academic education.
  • Education/training relevant to the position is preferred. Demonstrated knowledge/skills required.

Experience

  • A minimum of three years of experience in relevant detail-oriented administrative work in a mission-driven organization.

Knowledge/Skill Requirements

  • Knowledge of operations and the flow of information in a social services program is highly desirable.
  • Excellent oral and writing communication skills to convey complex issues, concerns, ideas, conclusions, and decisions
  • Must live in or near Seattle in order to be reliably punctual and present in person at all office sites as needed. This is not a remote position.
  • Ability to see the “big picture” - Imagining, strategizing, and managing projects related to inventory
  • Ability to be “detail–oriented” – Assuring quality control on every step of a project or task related to inventory
  • Ability to prioritize personal workload and follow through on assigned tasks to assure completion in a timely manner
  • Must exhibit a credible presence, with the ability to respond to questions with logic, clarity, calmness, and authority
  • Interest in working with direct service staff, administrators, and supervisors to ensure the highest quality standards
  • Strong computer literacy and mastery of Microsoft Office Suite, especially Excel, Outlook, SharePoint, and Teams.
  • Initiative in keeping current with technological changes.
  • Ability to quickly learn and incorporate relevant work-based programs, software, and electronic tools: Adobe, Zoom, Smartsheet, etc.
  • Basic understanding of cybersecurity and privacy risks within industry and how to mitigate vulnerabilities.
  • Ability to communicate meaningful observations and write accurate reports.
  • Ability to independently prioritize workload activities and complete tasks in a timely and efficient manner.
  • Dependable, able to work under pressure, receptive to change, willingness to learn, responsive and cooperative approach to problem solving.
  • Ability to establish and maintain effective working relationships with coworkers, management, and outside contacts from a wide variety of ethnic, socioeconomic and cultural backgrounds; good diplomatic skills.

  • Ability to demonstrate initiative, work very independently and seek supervision when appropriate.
  • A Washington State Patrol criminal background check will be conducted as a condition of hire and candidates with prior criminal convictions will be invited to provide additional context as needed.
  • Valid Driver’s license and driving record acceptable to agency insurance required in order to operate agency-owned vehicles to transport supplies.

Language Skills

  • Ability to read and interpret general business correspondence, policies and procedures, referral information, financial documentation and applicable government regulations.
  • Ability to write business letters, uncomplicated reports, instructions and procedures.
  • Ability to present information effectively and respond to questions from staff, business partners/vendors and contractors/funders as needed.

  • Thorough knowledge of and ability to apply business arithmetic skills accurately and rapidly.

Physical Requirements

  • The employee is regularly required to sit; use hands to finger, handle or feel objects, tools or controls; reach with hands and arms and talk or hear; frequently required to stand, walk and kneel; occasionally to climb balance, or stoop; rarely to crouch or crawl.
  • The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close, color and peripheral vision and the ability to adjust focus. The noise level in the work environment is moderate.
  • Other physical requirements related to supplies & inventory management, including lifting, bending, sorting, stacking, moving, piling, breaking down boxes, etc.
