Property Manager, Vanderbilt Operational Services (VOS)

Your Role:

Assists with the management and maintaining of VUMC leased and owned clinical properties off 21st Avenue Campus.

Department Summary:

The Property Manager positions to support increase in off-site clinical locations both leased and owned properties and to manage vendors. This position will work as a liaison between clinic and property manager in which we are leasing.

Vanderbilt Operational Services (VOS) is a multi-focal department designed to help open new locations, manage clinical and/or administrative moves, and to serve as the operational arm for all clinical locations outside of the 21st avenue and One Hundred Oaks campuses. This operational support includes the common infrastructure and system, i.e. environmental services, building management, hazardous waste pick up, rent, IT infrastructure, phones, etc. The goal of the VOS team is to work with each customer to meet the non-clinical needs of the respective clinics on a continuing basis. Much as the clinics on the 21st avenue campus and One Hundred Oaks enjoy the benefit of relying on a central function to manage the core systems, i.e. contracts, services, the institutional goal is to mirror that in the remote locations.

Position Shift:

  • This position is Monday – Friday; Days.
  • In some cases, the candidate selected for this position may have to assist with a weekend move, early morning move, or an evening move.
  • Candidate will be on call approximately once every nine weeks
  • Travel is required to various clinics in West, Middle, and East Tennessee, Northern Alabama, Southern Kentucky and our Regional Clinics.

KEY RESPONSIBILITIES:

  • Coordinates maintenance activities in buildings not covered by VUMC Facilities Management.
  • Ensures work performed by contractors if performed to specifications and agreed terms
  • Checks that all contractors are properly trained and adhere to all applicable safety regulations and policies.
  • Coordinates with clinics and departments in buildings to ensure work is performed with minimal disruption to services.
  • Obtains quotes, permissions and supervisors work performed by vendors and VUMC personnel.
  • Provides after hours support for buildings on an as needed basis and take on call duties.
  • Work with building landlords to perform repairs, both by VUMC and landlord.

Demonstrates the ability to oversee and facilitate the maintenance of facilities and contents to ensure contractors and vendors are performing all work to VUMC standards and to ensure the long term operation of facilities and contents.

Demonstrates the ability to oversee and facilitate the installation of facilities and contents to ensure contractors and vendors are fulfilling all obligations and that work is carried out according to approved contracts, specifications, and schedules.

REGULATORY COMPLIANCE (INTERMEDIATE)

Demonstrates knowledge of the appropriate rules and regulations and apply them in difficult, stressful and complex situations. Able to interpret and explain rules and regulations that are ambiguous or unclear. Directs others in interpreting rules and regulations on the job and trains others in them.

PERFORM REGULAR AND SCHEDULED INSPECTIONS (INTERMEDIATE)

Complete all assigned Preventive Maintenance Work Requests and general inspections in a timely manner.

PERFORM BASIC INSTALLATIONS (INTERMEDIATE)

Complete basic installations where only basic tools are needed.

Bachelor's Degree (or equivalent experience) and 5 years relevant experience.
