POSITION SUMMARY: The Program Coordinator builds relationships with professional evaluators and public entities looking to partner with the Evaluation Network. As a public-facing role, the coordinator provides both external representation and internal structure for a system of health professionals volunteering their time and expertise to conduct pro-bono medical and psychological evaluations on behalf of asylum seekers and applicants to other forms of humanitarian-based immigration relief. They are the primary contact for the volunteers and also work closely with clinical supervisors and a clinical director who are responsible for ensuring work behind the scenes is flowing well and done in a quality manner.

The Program Coordinator is responsible for accepting referrals from attorneys and ensuring that referrals meet the specifications of the program’s funding sources. The Program Coordinator will ensure all documentation is in order and work with the volunteer network to find an evaluator, coordinate an appointment including translation, and be there at the start of a telehealth visit to ensure all runs smoothly. The Program Coordinator will be a part of the Evaluation Network clinical team who, collectively, work with legal networks and providers to obtain valuable affidavidts to help asylum applicants in court . In addition, the Program Coordinator will provide expert knowledge and expertise in integrating best practices in housing navigation and connecting into relevant resources for those experiencing housing instability.

The Program Coordinator will serve as mentor for additional students and volunteers, providing information, HIPAA-compliant storage and coordination between legal and clinical documentation edits. The Program Coordinator will not serve as a direct supervisor, but will guide the protocols and deliveries of the direct-service team.

ESSENTIAL JOB FUNCTIONS/MAJOR JOB RESPONSIBILITIES:

  • Demonstrate awareness and sensitivity in the delivery of client services as it relates to the cultural and socioeconomic characteristics of the populations served.
  • Assist Clinical Director, Clinical Supervisors in advancing program and operational goals.
  • Accept referrals from legal resources and screen for eligibility
  • Provide one-on-one assistance with volunteers providing evaluations to keep them up to speed in trainings, evaluation process, scheduling
  • Provide coaching and communication assistance between attorneys and evaluators regarding affidavits alongside Clinical Supervisors
  • Write and maintain monthly newsletter for community partners and volunteers; maintain program website (a Google site)
  • Maintain strict confidentiality of participant information in conformance with related policies and procedures. Requires strict adherence of HIPAA standards in the office workspace to ensure confidentiality. Ensure participants are provided with all details pertaining to the collection and sharing of data amongst partners and volunteers
  • Mentor new and existing staff and students around policy changes, case file documentation and resources to include best practices.
  • Perform related duties as assigned.

Minimum Qualifications
  • Associate's Degree in related field or equivalent work experience.
  • At least 2 years’ experience in related field.
  • Must have well-developed communication skills, both written and verbal.
  • Must have strong organizational skills.
  • Proficient in Microsoft Word and Excel and willingness to learn new databases.
  • Previous experience working with participants from diverse backgrounds and perspectives.
Preferred Qualifications
  • Bachelor's Degree in related field or equivalent work experience.
  • Previous experience in community and human services including serving homeless and low-income communities.
  • Previous experience providing community presentations.
LANGUAGE SKILLS: Ability to read, write, and understand directions. Must have the ability to write memos and other basic correspondence. Ability to effectively present information and respond to questions from employees, clients, and the general public. Must have excellent communication skills with the ability to read, write, and speak English. Would prefer language fluency in Spanish, Arabic, Ukrainian or Dari as well.

REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form, although it is expected that the employee will be able to anticipate and initiate activities that are reoccurring.

CERTIFICATES, LICENSES, REGISTRATIONS: WA State Driver’s License and proof of current auto insurance.
