We seek a full-time Program Assistant to join our Wellness and Prevention / CHI Program team. The Program Assistant will support CHI and the new LGBT grant. This position is responsible for working on and supporting our Wellness and Health teams, delivering daily support tasks that ensure the staff has the resources needed to operate smoothly and efficiently. This position reports to the Program Manager.

Requirements:

Responsibilities

  • Greet individuals who are seeking assistance from Osborne programs.
  • Promote a positive image of the organization by communicating Osborne Association’s mission and programs to various audiences.
  • Assist program staff in maintaining both paper and electronic records.
  • Compile information and accurately enter data into multiple databases.
  • Prepare reports, documents, and letters to support program activities and engagement.
  • Coordinate the distribution of information, proposals, manuals, and other materials.
  • Maintain office workflow by implementing administrative systems, procedures, and policies that maximize the efficiency of office services and the quality of work products.
  • Streamline the communication process among staff by preparing meeting agendas, assisting with maintaining work calendars, and making follow-up phone calls for all referrals to ensure appointments are kept.
  • Maintain inventory and coordinate ordering of office supplies, equipment, and purchasing according to internal procedures.
  • Perform other duties as assigned.

Education

  • High School Diploma or equivalent

Experience

  • Two years of administrative experience, including computer and data entry skills.
  • Experience advocating for the LGBTQIA+ and/or HIV+ community involved with or impacted by the criminal legal system.
  • Demonstrated proficiency in understanding systems and creating systems to maximize efficiency.
