Responsibilities:
As an Administrative Assistant, you’ll perform administrative and office support activities for the Production Department.
What You’ll Do:
Data Entry:
- Make customers, vendors, and staff happy by providing superior service
- Proactively seek out Education in their career and communicate training needs
to Bath Production Manager - Partner with Documentation Administrator to keep Standard Operating
Procedures (SOPs) up to date - Notate all customer conversations in notes within Lead Perfection to ensure clear
communication with other team members - Job cost and update Lead Perfection with contract information, ensuring
accurate pricing structure - Check Lead Perfection daily to maintain an accurate record of the
previous day’s appointments and their outcomes - Create all customer files to maintain files accurately
- Review sold jobs for compliance, proper measurements, correct pricing, and
accuracy to ensure the company can perform the requested work - Interpret and analyze job costing and accuracy between actual and budgeted job
costing to ensure profitability on all jobs - Process check payments using a check scanner and record those payments in the
proper job in Lead Perfection to ensure that all necessary funds for jobs are
being collected from the customer
Production Coordination:
- Field, analyze, and schedule all service calls for production and provide
support the team on customer issues and trends by providing feedback
from surveys and customers on issues. - Assist dissatisfied customers by routing them to the proper department for
Maximum resolution. - Produce weekly service reports from CRM
- Manage customer schedules for installations and project steps in a timely
manner ensuring that the customer is up to date as project milestones occur - Provide proactive communication and feedback to Bath Production
What You’ll Bring:
- Exceptional, professional demeanor and communication skills
- Excellent computer and phone skills with attention to detail
- Providing customers with a fantastic experience over the phone
- Good organization and problem-solving skills
- Production, construction, or remodeling experience is a plus
- Ability to work independently and adapt to change
- Ability to adapt and assist where and when needed to help accomplish departmental objectives
