POSITION LOCATION: Daniel S. Snow, MD Health Center
STATUS OF POSITION: Full-Time

Summary

The Planning and Special Projects Coordinator will conduct various administrative services for assigned facilities and will plan, organize, and direct execution of special projects, events, and requests.

Essential Duties and Responsibilities

  • Oversees various staff and teams to ensure collaborative projects are completed in a timely and satisfactory manner.
  • Collaborates with other departments and staff to draft and execute budgets for assigned projects.
  • Coordinates and/or performs space-use analysis, inventory, and similar assessments for facilities.
  • Assist with design constructability reviews, bid, and award process, design/construction conflict resolutions, project management process, and tracking budget and schedule and develop reports as directed.
  • Provide oversight for the installation of projects.
  • Ensure communication to customers on project processes and procedures.
  • Interact with team members to accomplish established goals.
  • Maintain awareness of project safety issues.
  • Coordinate the design process to ensure the design meets the intended goals of the project.
  • Provide oversight for the execution of assigned project.
  • Prepare written evaluations of design professional and construction contractor performance.
  • Participate in the value engineering process.
  • Conduct scheduled meetings to review project status, develop punch lists.
  • Maintain awareness of project safety concerns and potential violations.
  • Review and approve design professional and construction contractors’ applications for payment.
  • Communicate and provide project reports status to the customer and Project Manager.
  • Perform safety risk assessments and maintain adherence to environmental health policies.
  • Ensure design and construction teams are meeting the stated objectives of the project with respect to budget, scope, and timeline.
  • Manage the selection of design teams, construction contractors and related consultants and suppliers for projects.
  • Represent the organization to ensure all code compliance is obtained to support the project.
  • Review and analyze change order requests for merit and cost reasonableness.
  • Fulfills, whether by performing or procuring, needs for various administrative services in assigned facilities.
  • Identifies needs, makes recommendations for, and facilitates the procurement of furniture, equipment, and other goods.
  • Attends planning and development meetings and other events involving business operations on behalf of the Chief Executive Officer (CEO) or other designated leadership staff as needed.
  • Assists the CEO, or other designated leadership staff with planning functions for special projects.
  • Acts as liaison with architects, engineers, and consultants on behalf of the company in planning, construction, and renovation projects.
  • Performs other related duties as assigned.

Qualifications/Requirements

  • COVID-19 vaccination required.
  • Bachelor’s degree in related field required.
  • At least five years of related experience required with management experience preferred.
  • Proficient with Microsoft Office Suite or related software.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of office management and institutional management practices and procedures.
  • Ability to create, understand, and implement a budget.
  • Ability to work well with others under deadline situations and respond to changes in priorities.
  • Ability to work independently, take initiative, set priorities, and see projects through to completion.
  • Employ critical thinking skills and analysis, and report problems to the CEO, as necessary.
