Position Overview:

We are looking for a highly organized part-time Personal Assistant/House Manager to join our team, dedicated to supporting the Owner and CEO, Jeff Mezzetta. This is a multi-faceted role where you will collaborate with the Executive Assistant to manage all personal affairs, personal property management related tasks and projects, event planning, as well as have the ability to grow into higher level projects.

The ideal candidate is motivated, professional, resourceful, and capable of managing their workload and prioritizing tasks in a home office environment. This role will require a flexible schedule, working on average 24 hours per week, and the ability to travel within the North Bay and Napa County regions.

Primary Responsibilities:

  • Perform weekly walkthroughs using household checklists to identify action items.
  • Correspondence, bill paying, gift shopping, grocery shopping, dry cleaning and errands.
  • Organize and maintain important documents such as insurance policies, DMV/registration records, property tax and personal tax records, etc.
  • Plan weekday family meals.
  • Vet, schedule, coordinate and manage vendors for multiple homes, including new construction builds and remodels.
  • Maintain a household vendor list for all homes and boats. Build strong relationships with vendors.
  • Supervise all projects and various aspects for the all homes and boats operation.
  • Care, maintain and supervise automobiles.
  • Manage and oversee estate’s garden and landscaping vendor.
  • Assist with pet appointments and help if care is needed (feeding, walking).
  • Assist with organizing and decluttering the home.
  • Assist in the planning and execution of events and entertaining.
  • Prepare home for occasional events and entertaining. Coordinate with vendors for holiday decor (Halloween, Christmas).
  • Managing the family calendar and securing reservations and tickets for restaurants, travel, and family outings.
  • Ensure safety and security to property and family through systems, monitoring and gate-keeping.
  • Maintains professional boundaries; exercises discretion; honors Clients’ privacy.
  • Coordinate with employers work assistant regarding events/commitments on the calendar.

Qualifications:

  • Minimum 5+ years’ experience in a Personal Assistant or similar role
  • High integrity and ability to maintain complete confidentiality of all personal and business information
  • Must have own transportation and valid Driver’s License with a clean driving record
  • Tech savvy and proficient in Microsoft Suite
  • Excellent communication skills with a calm, discreet and professional demeanor
  • Ability to balance several active competing priorities while working independently
  • Strong organization, project management and problem-solving skills
  • Availability during normal business hours, with flexibility for occasional evening and weekend work
