Position Summary:

Vallen's Payroll Specialist is an individual contributor position serving as a primary lead in processing payroll for approximately 2,500 associates. This role ensures that payroll is processed on time, accurately, and in compliance with all applicable government regulations. In addition to providing excellent customer service, this role will handle many of the day-to-day administrative tasks and inquiries related to all aspects of the payroll function.

Essential Job Duties and Responsibilities:

  • Administers & processes bi-weekly payroll to include, but not limited to: loading & auditing hours, processing and paying monthly incentives and commissions, calculating checks, expenses, tuition reimbursements or other special pay scenarios.
  • Maintains and updates time systems.
  • Partners with Finance with respect to applicable payroll and GL reports and monitor banking limits.
  • Processes associates on leave and monitors deductions with the Benefits team.
  • Full cycle processing of wage withholdings (garnishments, etc.).
  • Prepares manual checks on an as-needed basis.
  • Facilitates off cycle payrolls for special payments such as Bonus
  • Ensures accurate and timely processing of payroll updates including new hires, terminations and pay rate changes.
  • Establishes efficient and effective payroll and benefit processing while adhering to standardization.
  • Responds to unemployment inquiries and employment verifications.
  • Ensures the payroll system is in compliance with applicable company policies as well as Federal, State & Local regulations.
  • Ensures service level agreements are met, including, but not limited to, paperwork processing and resolution of help desk tickets.
  • Identifies new opportunities for HR to add value to the business & supports initiatives aligned with Vallen's strategic and financial goals.
  • Collaborates and works cross functionally with other HR team members and departments.
  • Performs other duties as assigned.

Job Qualifications:

Bachelor's degree preferred in a related field (e.g., Accounting, Business Administration, Human Resources, etc.) coupled with a minimum of 4+ years of experience in a Payroll/HR Shared Services environment. Relevant experience should include:

  • 2+ years of experience with payroll and time software systems, specifically ADP Workforce Now.
  • Working knowledge of Federal, State and Local regulatory requirements as they relate to payroll processing.
  • High degree of professionalism, integrity, and demonstrated ability to uphold confidentiality and work with sensitive job and pay-related data.
  • Ability to meet deadlines, multitask and coordinate efficiently with various resources
  • Must have a natural customer service orientation with keen attention to detail and accuracy
  • Demonstrated ability to resolve moderately complex issues
  • Comfortable with heady data entry while ensuring a high accuracy rate
  • Uses initiative and self-direction and applies knowledge and sound judgement to effectively resolve issues.
  • FPP (Fundamentals Payroll Professional) or CPP (Certified Payroll Professional)

  • This job operates in a professional office environment (or home office environment) and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, etc.
  • Long periods of time working on a computer and performing key-boarding activities.
  • While performing the duties of this job, the associate is regularly required to talk, hear & sit & occasionally required to stand and walk. Specific vision abilities required by this job include close vision, and ability to adjust focus.
  • Occasional evening and weekend work may be required as job duties demand and may include little to no advanced notice
