Position Summary

The Payroll Administrator is responsible for generate payroll-related reports and /or hoc reports as needed it, day-to-day assistance with processing of payroll tasks, related to of multi-state payroll. Additional responsibilities include assistance with payroll audits, notifications, general payroll accounting/reconciliation, administrative payroll tasks and customer service.

Duties & Responsibilities

  • Manage various payroll template uploads for Stipends, Bonus, Prop 301, etc.
  • Manage various payroll audits to verify hourly employees time, PTO and UKG Ready and Core discrepancies.
  • Manage/Monitor Payroll shared email account to ensure timely and accurate customer service.
  • Review timecard submissions and address missing data, discrepancies that need communicated to ensure accurate payroll processing.
  • Monitor PTO submissions and approval to ensure accurate payroll processing.
  • Complete Payroll Journal and submit cash transfers to Finance for processing.
  • Assist with various tasks to support processing bi-weekly payroll for all employees in a timely manner; accurately, and in compliance with legislative requirements and company policies.
  • Assist with Arizona tax credit withholdings and A1-C filing/reporting.
  • Assist in reconciling payroll registers.
  • Assist in managing year-end payroll tax activities, including preparation and verification of W-2 data.
  • Help ensure compliance with company policies and along with federal and state regulatory requirements.
  • Help generate various regular payroll reports for internal and external distribution as necessary
  • Participate in regularly scheduled training through either UKG, Fred Pryor or any other professional credited organization to further growth and learning of technical and soft skills.
  • Perform other duties as assigned by both the Payroll Manager and Team.

Qualifications, Competencies & Strengths

The Payroll Administrator position offers an exceptional opportunity to develop professionally and contribute meaningfully to a unique organization which is changing K-12 education in this country. While experience in education is not a requirement, Great Hearts is seeking people who are passionate and committed to K-12 education reform. Similarly, experience working within a high growth, geographically dispersed, multi-unit operating environment is also a plus.

  • No degree required.
  • Minimum 3 years of payroll work experience, education industry experience preferred.
  • Advanced proficiency with Microsoft Office.
  • Ultimate Software, UKG, Kronos or payroll software equivalent experience a plus.
  • Commitment to the core purpose and values of Great Hearts.
  • Superior written and verbal communication skills; oriented towards detail, thoroughness, and accuracy.
  • Excellent organization, communication, and computer skills (MS Word, Excel, PowerPoint, Outlook).
  • Self-starter with the ability to work in a fast-paced and deadline-oriented environment.
  • Ability to develop positive and professional relationships with team members
  • Creative problem-solving skills
  • Provide excellent customer service and maintain confidentiality and professionalism at all times.

Additional Requirements

Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety fingerprint clearance card.

Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 15 pounds approximately.

Travel required: May need to travel locally to the various academies or other locations within Phoenix area.
