This role will work closely with our payroll and AP teams. This role also will receive payments, confirm accuracy, coordinate/reconcile payments and maintain files for tracking.

Duties and responsibilities

  • Liaison with Payroll admins and accounts payable to make union payments and update the tracking tool
  • Work with accounting to reconcile union accruals against payments and implement corrective actions
  • Liaison between internal teams and unions to address employee and company-level changes (i.e., union roles, increases, rate increases, contact changes, payment type changes, etc.)
  • Responsible for handling union-related physical mail and logging issues and outcomes within the monthly union checklist file
  • Assist with auditing coding sheets for accuracy
  • Collect the necessary information from each union to properly set up new accounts and payments within accounting and accounts payable
  • Track union payments monthly and liaison with the Treasury department for cash flow forecasting
  • Log and track union payment discrepancies each month and follow up with admins to make sure these discrepancies are factored into the next month’s payment
  • Collaborate with payroll to maintain the union folder structure organized and keep track of all agreements and pension filings
  • Collaborate with payroll in maintaining checklists for expired wage sheets
  • Responsible for compiling year-end audit reporting requirements related to unions for the annual financial statements including headcount, union pension funding status, contract expiration, and contributions needed for disclosures.
  • Create and maintain union-related reports as required
  • Assist with monthly model creation for electrical and carpenter union
  • Other duties as assigned

Experience and education

Minimum of Associates degree in accounting or 3-5 years’ experience in union remittance processing

  • Advanced excel skills
  • Highly organized with Excellent written and oral communications
  • Knowledge of unions preferred
  • Knowledge of ADP preferred
  • Ability to handle large volumes of data
  • Experienced in reconciling data between multiple systems

Physical requirements and working conditions

Occasional light lifting of office equipment, materials and boxes; frequent walking and standing

  • Requires dexterity in use of fingers for the operation of computers and other office equipment.
  • Regularly required to sit
  • Occasionally required to stand and walk
  • Occasionally lift and/or move up to 15 pounds
  • Noise level is usually quiet.
