PATIENT SERVICES REPRESENTATIVE - FULL TIME, DAYS

SCHEDULE: Full time, Monday thru Friday, 8:00am-5:00pm

DEPARTMENT MISSION: The mission of the Family Physicians of Johnson County Department is to oversee the operational practice activities of the individual FPJC physician offices to ensure implementation of their respective strategic plans and to support Johnson Memorial Hospital's mission to become provider of choice for its community.

PURPOSE: Follows established procedures to assure that patients are registered in a timely and accurate fashion. Directs the flow of patient demographic information to ensure individuals are routed to appropriate medical provider. Schedules appointments and processes documentation for dismissals.

JOB RESPONSIBILITIES:
1. Performs the "check-in" duties and responsibilities for the individual physician practice office, which may include one or more of the following activities:

  • Greet and check-in patient;
  • Verify and input accurate patient demographic and insurance information;
  • Completes the registration process, which includes obtaining Photo ID and obtaining signatures on patient intake forms (i.e., HIPAA, Treatment Consent, Financial Responsibility, Assignment of Benefits, and other forms as required.
  • Prepares charts for appointments, assuring that dictations, pertinent medical information and updated demographics/insurance information is placed in patient's chart.
  • Prints superbills.

2. Answers multi-line phone calls and directs calls appropriately.
3. Schedules appointments and documents "no-show" appointments. Completes all paperwork and documentation for dismissal of a patient.
4. Depending on particular office site, may perform one or more of the following duties:

  • Reviews account balances of scheduled patients and addresses any "Past Due" balances.
  • Completes patient medication assistance forms.
  • Types correspondence for physician.

5. Clearly communicates and continuously supports the Mission and Values of JMH.
6. Performs additional duties not addressed here as assigned by the Senior Practice Manager and/or the JMH Vice President of Physician Practices.
7. Conducts all activities in compliance with applicable laws, regulations, standards, and hospital policies and procedures including Blood and Body Substance Precautions.

PERFORMANCE REQUIREMENTS:


1. KNOWLEDGE, SKILLS, AND ABILITIES: Requires general working knowledge of physician office billing, including Medicare, Medicaid and Commercial payers. Requires cash and credit card management understanding. Requires good organizational skills. Requires ability to interact with all levels of staff. Requires excellent communication skills.
2. EQUIPMENT USED: Personal computer, photocopier, facsimile machine, calculator, multiline telephone, hospital information system terminal, laser printer and other office equipment.
3. MENTAL DEMAND: Reading documents, detailed work, problem solving, reasoning, verbal and written communication, multiple concurrent tasks, constant interruptions, customer contact.
4. COMMUNICATIONS: Ability to communicate with any hospital department, physicians, and/or staff members, third party payors, government agencies, patients and guarantors.
5. PHYSICAL EFFORT: Bending at the waist, crouching, kneeling, cleaning, balancing, lifting, carrying, pushing, pulling, reaching, twisting, writing, squatting, sitting (particularly for long periods of time), talking, hearing, handling (holding, grasping, turning, or otherwise working with hand/hands), fingering (picking, pinching, or otherwise working with the fingers primarily), walking and seeing.

  • The typical workday involves the following physical strength requirements:
  • Sedentary work: exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently; on occasion may be required to lift boxes of files or supplies weighing up to 50 pounds.

6. WORKING CONDITIONS: Primary work environment is an indoor office setting with no notable exposure to fumes, dust, extremes in heat or cold. Works in a clean, well-lighted area.

  • Category Ill. No exposure to blood/body fluids.

7. EDUCATION, EXPERIENCE AND TRAINING: High School Diploma or equivalent required. Previous physician office and cashier experience preferred.
8. POPULATION BEING SERVED BY POSITION: The age categories served by this position are primarily adolescents, adults and geriatric adults.
