The Patient Care Coordinator must demonstrate our high standard of customer service and achieve customer satisfaction through a continued commitment to excellence. Must possess excellent communication skills, close attention to detail, and ability to multi-task. This Team Member’s goal is to warmly greet and ensure patients and their families feel welcome and comfortable in our office. Must be able to work independently and collaboratively with others on the Team.

Essential Duties:

· Verify patient personal data entered correctly into dental software

· Verify patient forms are up-to-date

· Answer and return phone calls in a compassionate, professional and efficient manner

· Schedule and confirm appointments

· Know frequency limitations of insurance to accurately schedule patients past the correct date

· Verify insurance coverage

· Calculate dental benefits and copays with accuracy

· Explain treatment plans and cost estimates to patients/parents

· Process insurance authorizations and claim submissions

· Process patient payments and maintain ledger accuracy in patient chart

· Collaborate effectively with other dental offices to coordinate patient care

· Communicate with clinical team

· Produce end of day reports

· Update clinical team members on annual changes to the CDT codes

· Studies the insurance plans that are used most frequently with patients to understand the various nuances of each plan in order to communicate more effectively.

· Documents basic insurance information on the patient’s chart for quick reference.

· Determines insurance eligibility, limitations and payment estimates necessary to facilitate financial arrangements.

· Educates patients, as necessary, regarding insurance, their responsibility and basic terminology.

· Processes and submits insurance claims daily.

· Monitors and follows-up on outstanding claims.

· Sends information as requested by insurance companies such as x-rays, charting, narratives and other documentation for processing the claim when applicable.

· Provides insurance predetermination documentation to patients if required, contacts the patient to make financial arrangements, and schedules treatment.

· Corresponds with insurance companies to resolve payment delays, requests for additional information, or to discuss treatment that has been denied coverage.

· Handles all inquiries concerning insurance on a daily basis.

· Monitor inventory and order office supplies

· Work efficiently to keep an on-time schedule

· Maintain a clean and organized office at all times

· Maintain a clean and organized family room

· Must be willing to cross train in clinical duties to maintain a continuity of operations during busier times and understaffing

· Attend Team Meetings, always contributing and striving in an effort to continuously improve the quality of all aspects of the practice

· Attend local community fairs, visit local schools and pediatrician offices, and other community events to support the local community

Knowledge/Skills/Abilities:

· Knowledge of appointment coordinator procedures.

· Knowledge of dental terminology and concepts of insurance. Knowledge of English composition, grammar, spelling, and punctuation.

· Patient Care Coordinator

· Knowledge of Spanish composition, grammar, spelling, and punctuation (preferred).

· Knowledge of OSHA and HIPAA regulations and changes.

· Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Practice Management software).

· Ability to maintain composure and professionalism when exposed to stressful situations.

· Ability to engender trust from the doctors, co-workers, and patients.

· Maintain confidence with the patient regarding abilities of doctor(s) and staff.

· Ability to work cooperatively with management, staff, and patients.

· Ability to prioritize, organize, and complete tasks in a timely and independent manner.

· Ability to accept constructive criticism.

· Ability to understand and follow written and verbal instructions.

· Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.

· Ability to communicate and express thoughts and ideas competently.

· Ability to quickly grasp relevant concepts regarding duties and responsibilities.

· Ability to greet visitors professionally and courteously.

Requirements:

· Enjoy children and always exhibit patience

· Clean and professional appearance and attire

· Available 7:30am-5:30pm Monday – Friday

o Every effort is made to accommodate a lunch daily, but in unusual circumstances a lunch break may not always be provided

· Pass Background and Drug Screening

· Prior knowledge of dental terminology and concepts of insurance

· CPR certification

· Follow standard operating procedures and all HIPAA and OSHA guidelines

· Bilingual (English and Spanish) - preferred

· Expanded Functions Dental Assisting Certification - preferred

· State of Florida Radiology Certification - preferred

Physical and Environmental Requirements:

· May be required to lift up to 35 lbs. or to roll a 90-pound machine on wheels from one area to another.

· Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).

· Vision: close vision, depth perception, and ability to adjust focus.

· Hearing: able to satisfactorily communicate with patients, doctor, and other staff members to ensure that verbal communication is clearly understood, or a satisfactorily-equivalent method of communication.

· Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.

· May be required to administer first aid or CPR.

· Occasional exposure to toxic or caustic chemicals and radiation.

· Exposure to moderate noise levels.

· Exposure to hectic, fast-paced, high anxiety environments.

Job Type: Full-time

Pay: $15.00 - $20.00 per hour
