Job Summary
The Patient Administrative Coordinator will be responsible for:
  • Patient Interaction:
    • Providing exemplary customer service while communicating with families via email, phone, and/or in person to coordinate patient contact lens care.
    • Serving as primary mode of communication between clinician and patient in between office visits.
    • Assisting with providing patient appropriate contact lens prescription(s), and/or working with outside contact lens vendors to assist with ordering prescribed lenses for patients.
    • Coordinating with clinicians and patients to assist with scheduling patient contact lens consultations and appropriate follow-ups; requires tracking ordered lenses to assure visit is scheduled when lenses are available for in-office visit.
  • Working with Outside Parties/Vendors:
    • Working with department referral coordinator to identify when Prior Authorizations are required (and working to obtain) for patient appointments, contact lenses, and/or vision therapy services.
    • Working with outside vendors on behalf of patients to facilitate placing/fulfilling prescribed contact lens orders, as needed.
  • Administrative Tasks:
    • Managing pending patient Prior Authorizations for upcoming visits, Contact Lens orders, reconciling vender invoices and statements.
    • Assisting with creating and maintaining accurate tracking sheets reflecting current contact lens stock in inventory.
    • Receiving, organizing and reconciling statements from vendors with shipped orders.
    • Entering charges into EPIC for patients prescribed with medical contact lenses, ensuring patient insurance is appropriately billed.
To qualify, you must have:
  • High School Diploma required. Some college or occupationally specific education/training preferred.
  • Minimum of 1 year of experience in a high volume administrative role with an emphasis on problem resolution among multiple internal and/or external parties.
  • Ability to learn the prior authorization process for medications/medical devices sufficient to navigate the intricacies of the current processes and facilitate improvements.
  • Strong organizational skills and attention to detail.
  • An ability to manage multiple tasks within tight time constraints.
  • Ability to solve problems but with a keen sense of when to escalate for appropriate resolution.
  • A sense of urgency and an ability to understand priorities and anticipate needs while also being flexible in order to accommodate changes in priorities.
  • Proactive communication skills.
  • An ability to work with diverse internal and external constituencies.
