Parts and Service Coordinator Job description

The Parts and Service Coordinator will help the parts and service department to ensure all clerical functions are completed according to procedure, in a timely fashion. Coordinator will process invoices, work orders and credits. Receive and post goods and process all paperwork to be distributed to other departments. Administrators will also answer phones, transfer calls appropriately, take service calls from customers, open work orders, and file paperwork, along with other administrative tasks.

Duties and Responsibilities

  • Providing excellent customer service to all internal and external customer requests.
  • Ensure customers receive invoices in a timely manner.
  • Process all vendor invoices making sure all documentation is sent to the appropriate internal departments.
  • Receive and post all orders purchased by field personnel and for fleet maintenance.
  • Picking parts and supplies to fill customer and technician orders.
  • Assist in conducting parts inventory on an annual basis.
  • Invoice completed service work orders for external and internal work completed, external billing, internal billing for rental service work. Includes service calls, quoted jobs, and maintenance.
  • Open work orders for service calls according to procedure.
  • Transfer parts and labor on work orders according to procedures.
  • Make collection calls and follow up with customers on completed work.
  • Fill in for other departments as workflow requires.

Qualifications

  • High school diploma or GED
  • Strong organizational skills
  • Must have good interpersonal skills over multiple forms of communication
  • Prior administrative experience preferred
  • Proficiency with Microsoft Office (Outlook, Excel, Word), and ERP systems preferred.
  • High degree of typing accuracy
  • Candidates must be organized and comfortable on the phone.

Work Environment

  • Must be able to follow procedure and perform repetitive tasks for extended periods of time.
  • Shared temperature-controlled office space.
  • Industrial shop exposure daily.
  • Mainly office based, some walking required.
  • Limited travel will visit customers occasionally.

Job Type: Full-time

Pay: $17.00 - $21.00 per hour
