SUMMARY: Performs deliveries and routes for the Firm as well as Firm clients in a timely, efficient and accurate manner, in addition to being a part of and supporting the Administrative Services Department by performing the following duties.

DUTIES AND RESPONSIBILITIES:

  • Prepares outgoing mail for delivery to post office.
  • Picks up and delivers mail to and from the post office in the morning.
  • Sorts and distributes mail within the office.
  • Utilizes Internet maps to plan deliveries for the most efficient route.
  • Delivers tax returns, payroll, and other documents to clients in a timely and efficient manner and in accordance with the established schedule.
  • Logs mileage of deliveries made outside of the office.
  • Picks up route boxes, ensuring in-office letters/documents are delivered quickly and accurately.
  • Organizes and scans documents into CCH Document or AutoFlow/ProFX Scan Workstation.
  • Recognizes the type of tax return in order to file in the correct folder in AutoFlow.
  • Ensures quality and accuracy of scanned documents by reviewing scanned pages.
  • Corrects scanned documents as needed.
  • Confirms and releases scans in the appropriate system once reviewed.
  • Verifies barcode and documents client number in AutoFlow.
  • Maintains documents until confirmed they are successfully uploaded.
  • Creates barcodes, scan sheets and bookmarks as appropriate.
  • Enters time and expenses into the Firm’s billing software.
  • Assists Administrative Services with other office duties as needed and as time permits.

Education and/or Experience:

High school diploma or GED required.

Other Skills and/or Requirements:

Must be at least 18 years of age and possess a valid Louisiana driver’s license.

Computer Skills:

To perform this job successfully, an individual should have working knowledge of the Internet, Microsoft Outlook, office equipment, computer hardware and peripheral devices.

Physical Demands/Work Environment:

While performing the duties of this job, the employee is regularly required to walk, stand, talk or hear, and use hands to finger, handle, or feel. The employee is frequently required to reach with hands and arms and stoop, kneel or crouch. The employee is occasionally required to sit. The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision and ability to adjust focus. The noise level in the work environment is usually moderate.
