OPERATIONS COORDINATOR – BEND, OR


We are looking for a motivated Operations Coordinator to join a fun, fast-paced financial planning firm in Bend. Based in our downtown Bend office, this position is full-time, Monday thru Friday, 8am to 5pm, with a generous benefit package. In this role, your primary responsibility will be to deliver exceptional customer service through accurate and timely new client onboarding, including implementing insurance and investment recommendations, and doing so with clear, concise, and professional client communication (in-person, email, and phone).


JOB DUTIES INCLUDE:

  • Lead and manage the new client onboarding process from beginning to end
  • Lead and manage the implementation of client insurance solutions, from completing and submitting insurance applications to final policy paperwork and processing
  • Lead and manage the implementation of client investment solutions, from initiating and completing proper forms, to account opening, account setup, and account funding
  • Process all client service requests, including but not limited to: address updates, name changes, beneficiary changes, billing updates, online account access, and general troubleshooting
  • Communicate with clients in-person, over email, and via phone
  • Assist with client meeting preparation, including data entry, running reports, completing templates
  • CRM and digital file management
  • Manage existing operational processes, and improve processes over time
  • Administrative tasks such as scheduling, scanning, e-filing, data entry
  • Greet visitors and clients as they walk into the office
  • Special projects, as assigned

Technical Skills

  • Generally Tech Savvy
  • Must have Microsoft Office Suite experience
  • Has or will be required to obtain Life & Health License within the first 3 months
  • Has or will be required to obtain Investment Licenses within the first 18 months

Education & Experience

  • Bachelor’s degree, or relevant experience
  • Ideal candidate has 5+ years of relevant experience
  • Ideal candidate has industry experience or exposure
  • 2 professional references

Confidentiality: Maintaining client confidentiality is a must. This position will be handling confidential personal data and information of the firm’s clients and prospective clients including birthdates, social security numbers, bank account numbers, and other confidential personal financial information.


Supervision: This position has supervision. The employee will meet periodically as needed with their supervisor to go over pertinent goals and assignments. The employee does not have any supervisory responsibilities.


Basic Working Conditions:
The employee must have their own method of dependable transportation and work full time during normal business hours Monday through Friday, 8am to 5pm in our Downtown Bend office. The employee must be able to sit for long periods of time. The employee must be able to work from a computer for long periods of time. Although this position will be in an office environment, at times this position may be required to lift up to 25 lbs. The employee will be required to have the ability to stoop, kneel and handle objects for filing. While performing the duties of this job, the employee regularly works in a typical office environment, with standard office equipment.
