PRE-EMPLOYMENT SCREENINGS: Brenau University will conduct criminal background checks on all persons being considered for initial employment. In some circumstances, an FBI fingerprint report may be necessary to satisfy the requirement. Once employed, employees must hold and continue to maintain a favorable criminal history background. Random background checks are performed. Credit checks may be performed on candidates/employees who are selected for a position that regularly engages in handling credit cards or other company monies. A Motor Vehicle Report (MVR) may be performed during the hiring process, or as part of a random check. MVR checks are required to meet insurance requirements for those employees operating a university vehicle or participating in any driving activity on behalf of Brenau University, (including operating a golf cart, rented vehicle or one’s personal vehicle). Employees who travel must be at least 25 years of age, have a valid Georgia driver’s license, and good driving record. All employees who operate university vehicles, who are employed in a sensitive position, or who travel regularly as part of their job responsibilities may be subject to post-hire drug screening and random drug-screening. All employees are subject to reasonable suspicion drug screening..

Brenau University seeks a part-time onsite event coordinator.

In this position, the individual oversees events such as conferences, meetings, social events and performances from move-in until move-out of each client. They act as an event coordinator on behalf of clients to ensure a smooth and successful event. They also act as the liaison between Brenau University and outside vendors and clients to ensure university policies and procedures, and public safety guidelines are followed during an event.

Additionally, they may need to provide services such as moving the facility’s tables, chairs or other equipment according to the needs of the client. They should have a basic understanding of audio-visual equipment to make sure the facility’s AV is in working order for the duration of the client’s event. They must be receptive to the public, faculty, staff and students. They must be able to work as a team and alone as needed. They must work with minimal supervision once trained. They must be willing to work various shifts to include early mornings, nights, weekends, and/or holidays as assigned.


Major Job Responsibilities:

  • Coordinates physical requirements of activities, events, and entertainment with promoters and other groups utilizing the Brenau Downtown Center and various rentable spaces on other Gainesville campuses.
  • Coordinates with the necessary staff to review the activities and discuss logistical details of each event, including estimated attendance, set-up, audio-visual requirements, food and beverage, etc.
  • Informs any security officers on the security needs of the evening. Makes the decision, with input from the security officer, if someone needs to be evicted from the facility or if an event should need to be shut down.
  • Maintains necessary paperwork for all events in a provided master event file.
  • Documents all incident reports during the event to ensure Brenau University’s interests are protected at all times.
  • Performs other related duties as required.

Knowledge, Skills, and Abilities:

  • Knowledge of (or the ability to learn and become familiar with) NFPA Life Safety Codes as they pertain to public assembly facilities.
  • Knowledge of a variety of computer programs including, but not limited to, Microsoft Office and Google G-Suite.
  • Ability to communicate clearly and effectively, both orally and in writing.
  • Ability to establish and maintain effective working relationships with staff, faculty, students, public and private sector organization representatives, customers, contractors, and the public.
  • Ability to anticipate and respond to problems and gather and analyze information skillfully.
  • Ability to organize time, priorities and schedules and plan tasks, project plans and timelines.
  • Display positive outlook and pleasant manner and encourages team cohesion and performance in the execution of client events.

Minimum qualifications:

  • High school diploma or equivalent.
  • Two years in large and small event coordination experience preferred.

Requirements:

  • Valid Class C Driver’s License and a satisfactory Motor Vehicle Record (MVR)

Environmental and Working Conditions:
Normal environment found in an office and/or educational setting. Some exposure to outdoors and varying weather conditions may be required.

Physical Demands and Aptitudes:
Some lifting and or carrying objects weighing 15 lbs + may be required.
