Job Summary

AJ Tutoring Office Manager, Palo Alto

We are currently seeking a dynamic and self-motivated Office Manager to help us create a great customer experience for AJ students, parents, and team members; and provide administrative support to the AJ Team. Our ideal candidate has a "can do" attitude and knows how to keep operations running smoothly. Although experience working in administration is preferred; personality, passion for education, and organizational skills are the most essential characteristics that we are looking for. We will train you, share all of the things you might need to know, and answer any questions you may have. In addition, you will be a part of an entire network of offices, each staffed with AJ team members committed to the success of the organization.

  • Hours: 40 hours/week (Monday-Thursday 10:30am-7:30pm; Friday 9-6pm, occasional weekends).
  • Job Type: Full-time
  • Salary: Hourly, starting at $19-$22/hr

Responsibilities include:

  • Clerical: answer phones, process mail, maintain office inventory, clean and organize office daily, order supplies (e.g., books, office supplies) as needed, and rearrange furniture for meetings and classes (must be comfortable lifting and moving tables and chairs).
  • Customer Service: manage reception area, greet families as well as tutors, and manage the tutor-student flow into and out of tutoring spaces
  • Collaborative: provide general assistance to the tutoring, sales, class instructors, and leadership teams, as well as serve as the eyes and ears of the company while being particularly mindful of and attentive to employee morale.

Qualifications:

  • In-depth knowledge and demonstrated proficiency with computer technologies including: Google (Gmail, Google Drive) and MS Office (Word, Excel, PowerPoint), etc.
  • Excellent professional judgment corroborated by references.
  • Analytical and problem solving skills.
  • Superior Excellent organizational skills.
  • Strong oral and written communication skills as well as effective verbal and listening communication skills.
  • Flexible, entrepreneurial, and able to work in a fast-changing environment
  • Ability to think, plan and execute resourcefully, across multiple tasks.
  • Must be able to lift 30 pounds
  • Must have reliable transportation
  • High school or equivalent required. (Four year college degree is desired, but not required.)
  • Prior administrative assistant experience is desired, but not required. We will train the right candidate. Entry-level and re-entry candidates welcome!
  • Willingness to commit to at least one year with AJ Tutoring (Please note that we are looking for a long term hire - so if you are looking for a quick 'in-between' job this is not the right fit)
