GENERAL DEFINITION OF WORK:

Performs complex skilled clerical work providing upper-level administrative support which requires advanced experience and/or training in complex software programs and office operations. Direction may be provided by a department head or division director.


ESSENTIAL FUNCTIONS/TYPICAL TASKS:

(These are intended only as illustrations of the various types of work performed. The omission of specific duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.)

  • Develops and produces complex correspondence, reports, minutes, lists, forms, tables, memorandums, etc.
  • Assists the department head/division director in compiling and completing budget reports, timesheets, etc.
  • Renders advanced level administrative assistance to the department head/division director.
  • Maintains confidential files of correspondence, forms, reports, etc.
  • Enters a variety of information into computer; maintains computer database and hard copy files as required; generates reports as necessary.
  • Receives, receipts and accounts for various payments.
  • Prepares and processes various bills for services rendered.
  • Maintains department payroll, training, and personnel records.
  • Maintains or oversees the maintenance of departmental office equipment.
  • Orders and maintains departmental supplies, codes and processes department invoices for payment.
  • Attends various meetings and takes and transcribes meeting minutes.
  • Maintains various schedules; compiles, prepares and disseminates various statistical reports.
  • Programs and manages department computer. Updates departmental programs. Sets up and assigns security levels for all personnel. Trains users on computer use.
  • Performs related tasks as required.

KNOWLEDGE, SKILLS AND ABILITIES:

Thorough knowledge of departmental operation; thorough knowledge of commonly accepted business practices; thorough knowledge of office technology skills; thorough knowledge of proper business English and spelling; thorough knowledge and expertise in the operation of personal computers with excellent skills in Microsoft word processing Excel spreadsheet applications; ability to answer inquiries and assist the general public in a courteous manner; ability to organize and assist in a wide variety of projects; ability to understand and follow complex oral and written instructions;and an ability to establish and maintain effective working relationships with associates and the general public.


EDUCATION AND EXPERIENCE:

Any combination of education and experience equivalent to graduation from high school supplemented by course work in office management, business administration or related field and extensive executive level secretarial experience. Advanced secretarial training certificate/degree preferred; minimum 5-10 years experience working in the particular department preferred; must possess a thorough knowledge of the overall departmental operations and be familiar with County Government practices.


PHYSICAL REQUIREMENTS:

Physical capability to effectively use and operate various items of office related equipment, such as, but not limited to a personal computer, calculator, copier, and fax machine. No significant standing, walking, moving, climbing, carrying, bending, kneeling, crawling, reaching, and handling, pushing, and pulling.


SPECIAL REQUIREMENTS:

May require possession of an appropriate valid driver’s license. May be required to possess a Notary Public certification.
