Ten Broeck Center for Rehabilitation & Nursing is now hiring a full time Nursing Office Manager to join our team! Ten Broeck is a 258-bed facility that is recognized throughout the Hudson Valley for our outstanding delivery of subacute and long-term care.

The Nursing Office Manager is responsible for supervising and coordinating administrative functions of the Nursing Department while ensuring accomplishment of administrative functions by scheduling working hours to have the Nursing Administration Office covered during regular workweek. The Nursing Office Manager is back up for the Nursing Scheduler and Unit Coordinators as well as back up for the Medical Records Clerk and assures that the medical record is completed in accordance with established standards and facility policies and ensures the data entry of all state and federal data requirement and submission of same following regulatory standards. ESSENTIAL FUNCTIONS OF A NURSING OFFICE MANAGER:

  • Supervises Medical Records and Unit Coordinators/Clerks
  • Ensures current licenses for professional nurses and certification for nursing assistants, including submitting check requests.
  • Liaison between In-House Doctors and Nursing staff.
  • Types policies and procedures, minutes, letters, reports, etc.
  • Researches, prepares, and maintains various nursing reports and audits.
  • Sets up resident appointments with hair salon/hairdresser
  • Unit clerk for unit(s) as assigned
  • Manages the tracking of all staff COVID testing and prepares information in a timely fashion for reporting
  • Utilizes various computer software programs to create charts, forms, vouchers, requisitions for purchase orders, etc.
  • Back-up for scheduling, coordinating, and supervising weekly resident appointment calendar
  • Back-up for Nursing Staffing Coordinator and Unit Coordinators.
  • Assist with transportation as a back-up driver, as needed (license required).
  • Orders and maintains inventory on uniforms for all Nursing Personnel.
  • Orders and maintains inventory on all office supplies for the Nursing department.
  • Takes telephone messages and sets up appointments for residents.
  • Copies letters, reports and resident/patient information and distributes and/or files as necessary.
  • Sorts and distributes faxes for Nursing and Medical Personnel.
  • Maintains manuals by inserting meeting minutes, revised and new policies.
  • Assists with correction of audit deficiencies as directed.
  • Inputs data and prints reports, including MDS and PRI assessments.
  • Monitors medical records for accuracy; works with consultant as indicated.
  • Ensures Medical Record compliance in accordance with established standards and facility policies and procedures and work with Nursing Unit Clerk.
  • Demonstrates commitment to equal employment opportunity.

  • Reports all cases of alleged violations involving mistreatment, neglect or abuse, including injuries of unknown sources.
  • Assist with resident transportation, if needed, to and from activities.
  • Assures the safety of residents at all times.
  • Assist resident to participate in individual activities of choice, (i.e.: set up of equipment, positioning assistance, providing sufficient lighting and space).
  • Inform residents of various activities available to them even when Activities staff are not available.
  • Answers call bells in a polite and timely manner.
  • Other duties that may be assigned.

PHYSICAL REQUIREMENTS OF A NURSING OFFICE MANAGER:

  • Close office work requiring concentration.
  • Manual dexterity.

NURSING OFFICE MANAGER QUALIFICATIONS:


  • High School Diploma. One year of college or equivalent preferred.
  • Supervisory experience preferred.
  • Clerical experience in the nursing/medical field and/or health care setting (long term care preferred).
