Temple Adath B’nai Israel Office Manager

The Temple Adath B’nai Israel Office Manager is responsible for the day to day administrative operations of the Temple as defined by Temple Adath B’nai Israel’s Personnel Committee, the rabbi and approved by the Board of Trustees; The Temple Adath B’nai Israel Office Manager will report directly to the President or a member of the Board of Trustees appointed by the president. The Rabbi will serve as the on-site supervisor.

Duties are subject to change under each two year presidential administration. The Office Manager is always responsible for maintaining a positive communications style with the congregants and staff.

Duties and Responsibilities:

  • The Office Manager will be responsible for all computer generated office work to include, preparing and mailing statements, and invoices as well as receiving and posting daily income and debits to the Temple. Management of QuickBooks’ operations including all Banking and Endowment materials including daily, monthly, quarterly and annual reports. Maintaining and utilizing the data file and Shul Cloud. Preparing and maintaining the Board of Trustee’s annual, operational and meeting materials to include generation of all reports necessary for the Board of Trustees meetings and business. The Office Manager will be available to the Board of Trustees for their meetings if requested
  • The Office Manager will be available to assist the Rabbi with administrative duties, i.e., designing, copying, locating, maintaining such materials and files as the Rabbi deems necessary.
  • The Office Manager will be responsible for generating materials, coordinating events and assisting the committees who oversee all High Holy Days and other Festivals and events.
  • The Office Manager will be responsible for publishing, emailing and mailing as indicated all Yahrzeit notices. The Office Manager also will publish/email the Shabbat Announcements. Copies of these will be placed at the front of the Sanctuary and on the Bima each Shabbat evening.
  • The Office Manager will be responsible for retrieving and picking up mail From the PO Box.
  • The office manager will make deposits to the Synagogue accounts in a timely manner after checks are received.
  • The office manager will prepare necessary checks for signature by the treasurer or other approved signatory and arrange to have checks signed.
  • The office manager will also coordinate with the accountants on bookkeeping and invoicing matters.
  • The Office Manager will be responsible for maintaining confidential files and information.
  • The Office Manager will be responsible for assisting members with entry and retrieval of their religious and or lifecycle data.
  • The Office Manager will be responsible for assisting members with Lifecycle Events.
  • Will be available during working hours to allow access to the building, venders, maintenance personnel, and congregants.
  • Will be responsible for locking and securing the building when exiting it and no other key holder is using the building.
  • Will be responsible to meet the police if the alarm is generated only if the rabbi or no other Temple official is available.
  • Will conduct the Administration of the Temple in a timely, organized, efficient and professional manner
  • Will adhere to published work hours.
  • Will notify the rabbi if unable to be at work on time due to illness accident or family emergency. That notification will come before the workday begins or as soon as the Office Manager knows he/she will need to be absent. Absent without notification will result in no pay for the day for the first 3 occurrences in three months and job termination upon the 4th. Timely notification is the requirement.

Skills:

  • Be a self-starter
  • Possess excellent computer skills
  • Able to work with volunteers of all ages.
  • Able to communicate well by telephone.
  • Able to promote Temple programs.

Proficient in Microsoft Word, Excel, and QuickBooks; Understanding of basic accounting, work with our off-site Accountants; electronic transfer and other banking skills; accounts payable and receivable; copying, other office equipment as necessary. Preparation for board meetings as well as for bulletins, brochures and flyers both electronically and by mail. Bulk mailing.

  • Willingness to learn about the Jewish religion and customs of this religion where it applies to the job.
  • Excellent written and verbal communication skills.
  • Must be able to be bonded.
  • Anything else required by the position or requested by the rabbi, president or board of trustee member appointed by the president to oversee this position.
