Your Opportunity

As Office Manager, you will work fulltime from our newly consolidated Washington, D.C. office. This position will handle daily operations and support multiple business lines (including buildings, community development, transportation, and water) and staff working from various locations, including home offices and in the field. This role will also be responsible for liaising with Stantec’s functional support teams (FST) in accounting, health & safety, human resources, and information technology; establishing and maintaining office protocols and procedures; and managing/supporting special projects and activities.

Your Key Responsibilities

  • Serve as the initial, frontline point of contact for the office
  • Help develop and implement policies and procedures to ensure smooth and efficient daily office operations
  • Manage key internal and external relationships with Stantec FST members as well as vendors and service providers
  • Work with office leaders to monitor/manage the operational budget for the office
  • Help support adherence to Stantec’s health, safety, security and environment (HSSE) activities and requirements
  • Assist and/or lead preparation for various meetings and events
  • Backstop and support IT to ensure consistent connectivity throughout the office especially in conference and huddle rooms
  • Provide support on new hire orientation and other HR compliance-related activities
  • Represent the office on various FST-related monthly calls
  • Coordinate with office leaseholders and the building management team to manage resource scheduling for amenities and services
  • Manage monthly inventory of business and food/beverage supplies
  • Support other special projects and activities as assigned

Qualifications

Your Capabilities and Credentials

  • Excellent verbal and written communication skills -
  • High emotional intelligence and steadfast composure; professional and discreet
  • Proactive, creative, and organized with strong attention to detail; able to anticipate future needs and prioritize workload
  • Flexible and able to adapt quickly to changing needs, priorities and timelines
  • Technologically proficiency with MS Word, Excel, PowerPoint, Outlook and Teams is a must; proficiency with Adobe and Bluebeam also desired
  • Some lifting of boxes and packages up to 25 pounds may be necessary
  • Primary onsite work hours will be 8:30 AM to 4:30 PM with some ability to work remotely on occasion and within reason.

Education and Experience

  • Bachelor's degree in business or a related field
  • Minimum of 8 years’ experience in an professional setting with progressively responsible administrative and operational duties
