Scion Nonprofit Staffinghas been engaged to conduct a search for an Office Manager for our client, a very successful and long-standing Nonprofit focused on enhancing the quality of life for disadvantaged youths. This is an exciting Full-Time, Hybrid opportunity located onsite in San Francisco!

As the Office Manager, you will report to the Executive Director and will support the administrative operation of the organization, including human resource functions, IT and systems, procurement, and facilities. Your excellent written and communication skills along with your ability to take initiative and to pick up new technology will help you succeed in supporting this organization and its mission!

RESPONSIBILITIES:

  • Manage and maintain organizational systems and facilities
  • Develop and oversee document retention policies and manage disposal of records
  • Oversee organizational insurance policies and ensure organization is adequately covered
  • Ensure emergency and security policies and procedures are understood and followed, including cyber-security procedures
  • Oversee compliance with state and federal registration and reporting obligations, including state charity registrations
  • Assist with payroll, benefits administration, recruiting, onboarding, off-boarding, employee check-ins and exit interviews
  • Assist with human resources functions including hiring practices, employee review policies, and professional development
  • Assist with the compliance with applicable human resources, employment and personnel laws and regulations
  • Maintain updated personnel and operations policies and procedures and ensure compliance
  • Train and orient staff on personnel policies and procedures
  • Process accounts receivable and payable
  • Coordinate the annual budget development process, monitor expenditures and variances
  • Prepare ad-hoc financial reports for the Executive Director and the Board of Directors and for the purposes of grant reports
  • Negotiate, prepare, and monitor all vendor and consultant contracts
  • Ensure the organization’s bank fees and service meet current needs
  • Assist with the coordination of the annual audit process for the organization
  • Ensure donor contributions are reconciled on a monthly basis

QUALIFICATIONS:

  • 5+ years of Office Manager experience
  • 3+ years of Accounts Payable/Accounts Receivable experience
  • 3+ years of Payroll experience
  • 3+ years of Human Resources experience
  • Proficiency with QuickBooks
  • Proficiency with Bill.com
  • Nonprofit experience is a plus!
  • This position with our client requires employees to report to work at a physical location. COMPENSATION AND BENEFITS:
