The CoreLife Office Manager’s number one responsibility is the management of the patient experience. While in this role, the CoreLife Manager is charged with shepherding the patient through their journey with empathy, compassion, and care. Additional responsibilities include management and oversight of the care delivery team at a clinic level. They are also responsible for the sustainable growth of their clinic. In this role, the Manager will lead meetings with all key teammates in order to provide the highest standard of care and experience for CoreLife patients and teammates alike.

Major Areas of Responsibility:

  • Serve as the primary liaison with patients for the purpose of communicating, monitoring, documenting and evaluating challenges and successes while achieving and maintaining program consistency.
  • Oversees administrative staff meetings and attends other meetings, as assigned.
  • Analyze and evaluate a variety of program related data for the purpose of ensuring that program initiatives meet business objectives.
  • Assess and synthesize area/clinic specific best demonstrated practices to enhance the patient experience.
  • Prepare a variety of materials (e.g. reports, memos, letters, procedures, instructional and marketing pieces, assessments, etc.) for the purpose of documenting activities, providing written reference, and/or conveying information.
  • Demonstrates leadership skills through the supervision and coordination of all daily operations within the clinic.
  • Effectively execute a multidisciplinary model to meet Key Performance Indicators and Performance Metrics. Key Performance Indicators Include (but are not limited to): Experience (patient/teammate), Patient Management, Schedule Efficiency, Clinic Growth, Patient Retention
  • Assist in the hiring and training of new teammates.
  • Provides timely feedback and coaching to teammates as appropriate. Addresses areas of concern through action plans and recognizes/rewards positive efforts to enhance team morale.
  • Responsible for personnel management in accordance with HR policies and procedures.
  • Ensures compliance to regulatory guidelines and the provision of quality patient care. Maintains compliance with regulatory standards by monitoring operations and initiating changes where required. Regulatory guidelines include (but are not limited): OSHA, State guidelines, Joint Venture Partner Guidelines, HIPAA
  • Responsible for bottom line financial performance of the office, drives revenue, keeps expenses in balance by monitoring inventory, managing teammates time and conducting systematic reviews to identify potential savings and ways to reduce waste within the system.
  • Supports the sustainable growth of their clinic in all care pillars while maintaining a high standard of delivery and patient experience.
  • Supports other clinics/teammates, when necessary. Willing to travel to other clinics within the same region to help provide coverage. Assist, remotely, with scheduling and work queues.

Education/Experience:

  • Completed Bachelor’s Degree in a Health or Management Related field (preferred)
  • 2-3 years management experience (required)
  • Business development background (preferred)
  • Computer competency (required) (consider listing the programs used by offices)

Work Environment: This job operates in a professional medical office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

  • While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms.
  • This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Job Type: Full-time

Pay: Up to $40,000.00 per year
