Brief Summary of Job Description
The Office Associate for the Teacher Education Department is a shared position between Teacher Education and Educational Administration. Incumbents are responsible for managing the day-to-day operations of the TE department including support of faculty and students.


Job Duties
  • Graduate Assistant Support (new hire paperwork, key requests, and office supply needs)
  • Support Teacher Education and Educational Administration departments
  • Provide administrative and secretarial support to the department chair and faculty.
  • Greet and direct visitors, students and parents of students answering or referring inquiries.
  • Strong organizational skills, self-starter, attention to detail, dependable and be able to work independently.
  • Maintains a professional office atmosphere including the confidentiality of all department chair and professor/student communications.
  • Keep biweekly payroll and all related activities.
  • Organize work by reading and routing correspondence; collecting information; initiating communications.
  • Maintain department schedule and calendars for department personnel.
  • Arrange meetings, conferences, teleconferences, and travel.
  • Operate phone and electronic mail systems and coordinate the flow of information and inquiries both internally and with other organizations.
  • Responsible for maintaining department records, files and updating computer files.
  • Prepare reports or create and maintain letters, memos, department brochures and other documents as directed.
  • Maintain department office supplies inventory and all ordering of supplies.
  • Oversee budget, prepare requisitions for payments, make travel arrangements, and prepare necessary documentation.
  • Manage other office requests for information including, but not limited to book requests, class rosters, and semester course schedules.
  • Keep current on all forms for all committees and other interdepartmental/office forms.
  • Attend all department meetings, take minutes, and distribute approved minutes via e-mail to department faculty and dean.
  • Operate office equipment such as copiers, phone systems, and use computers for spreadsheet, word processing, database management, and other applications (e.g. Adobe Acrobat Pro, Qualtrics, EvaluationKit).
  • Learn to operate new office technologies as they are developed and implemented.
  • Assist with coordination of student comprehensive exam, Advisory Council, Honor’s Reception, and other semester/annual departmental events.
  • Assist with Background checks
  • Creates and publishes the monthly department bulletin
  • Office associates will support all COE Departments and operations as needed beyond their primary responsibilities.

Required Qualifications
High School diploma or equivalent. One year business school training or a minimum of one year secretarial experience. Requires excellent administrative skills, writing skills, data entry and assessment, supply management, scheduling, Microsoft Office skills, professionalism, confidentiality, organization, travel logistics, typing, and verbal. Must be able to work effectively with people of diverse backgrounds. Requires the ability to manage multiple tasks.

Preferred Qualifications
Associates degree, experience working in a college or university setting and familiarity with budget management, Microsoft systems, Adobe Acrobat, SAP, MyBlue, Qualtrics, and experience working with background check software.
