Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

Based on federal and/or state regulations, this position requires vaccination against COVID-19. Proof of vaccination must be provided. Candidates who are not fully vaccinated against COVID-19 at time of interview may not start working until two weeks after their final dose of a COVID-19 vaccine.


Duties Description

The Office of Mental Health is recruiting to fill an Office Assistant 1 (Keyboarding), Grade 6, position assigned to the Administrative Support Services Group (ASSG). ASSG supervises and manages OMH’s capital planning and construction program, and provides direct technical assistance for physical plant operations and maintenance, nutrition, transportation services and safety and security for 22 Psychiatric Centers, 2 Research Institutes, and Cook Chill Production Center located statewide. The incumbent will be responsible for providing administrative support for the Bureau of Capital Operations. Specific duties to be performed may include, but are not limited to the following:

Answer the Unit’s main phone line and refer calls to appropriate staff member for technical information.

Open, review, sort and distribute the mail in accordance with staff assignments.

Perform data entry.

Create, organize and maintain paper and electronic files.

Scan, fax and/or photocopy documents.

Prepare routine correspondence as needed.

Assist with daily tasks and project tracking.

Assist to make travel arrangements and collect travel documentation.

Assist all bureaus within ASSG with various tasks including phone coverage, record maintenance, mail distribution, ordering office supplies, maintaining staff and team itinerary calendars, maintaining hard copy and electronic files, and serve as backup secretary for the Director of ASSG as needed.

Perform other clerical duties as necessary and serve as back-up for other clerical staff.

The Administrative Support Services Group is conveniently located in independent offices on the grounds of the Capital District PC at 75 New Scotland Avenue, Albany, New York. Guaranteed covered parking with exclusive employee entrance to office areas is available for $5/month.
