    Position Summary:
    This position is under the department of Native American Student Services (NASS) which is funded by Title VII Indian Education and the Johnson O’Malley Indian Education grant programs. This position is responsible for providing secretarial, administrative and financial services for the NASS department. This position also serves as the assistant to the Administrator of Native American Student Services and to the staff of the department for the effective and efficient implementation of assigned tasks.

    Essential Duties:
    • Facilitates internal and external communication by being main point of contact for the NASS department by answering phone calls, general emails and mail.
    • Organizes and oversees all Title VII and JOM student files and financial files.
    • Processes all requisitions, goods receipts, activity fund documents and all other financial documents related to NASS funding agencies.
    • Acts as the office manager for the NASS central office overseeing office inventory and appearance; managing incoming and outgoing mail;
    • Works directly with students and families to complete appropriate paperwork for both Title VII and JOM enrollment and its specified programs.
    • Assists in collecting data for proposals and annual reports for funding agencies
    • Provide great customer service to all students, families and employees of OKCPS
    • Responsible for entering correct data into district student and financial data bases
    • Maintains staff attendance records and staff personnel files
    • Makes contacts of a sensitive, complex, and confidential nature.
    • Resolves non-routine problems in thorough and timely manner; uses discretion and knows who to go to in order to resolve issues and complete tasks. Requires analysis and interpretation of situation and selection of approach.
    • Provide assistance to Administrator as requested like managing calendar and appointments and assist in event planning of major events.
    • Attend staff meetings and participate in all professional development activities to maintain and improve professional competence.
    • Attend Parent Advisory Council meetings as requested, serve on committees as required and be a productive member of the Native American Student Services team.
    • Serve as a positive role model for Native American students.
    • Promote the overall effectiveness of the organization by performing tasks and sharing responsibilities of other members of the Division/Department during peak periods or when there is an overload of duties.

    Qualifications:
    • Education:
    High School diploma or equivalent and Five (5) plus years’ relevant experience
    Bachelor’s degree preferred
    • Specialized Knowledge/Skills/Licenses:
    Knowledge of Native American culture, customs, and traditions
    Knowledge of Oklahoma Tribes and Tribes throughout the US
    Experience working with or in the Native American community
    • Experience:
    Ability to effectively express ideas, instructions and concepts
    Excellent communication skills both written and verbal
    Ability to learn and utilize the district software programs and systems in the performance of regular duties
    Strong computer and technology skills
    Communicate and model a high level of professionalism and clerical expertise for departmental staff
    An equivalent combination of education and experience may be considered in appropriate circumstances.
