Multi-Program Area Administrative Assistant
Multi-Program Area Assistant applies professional administrative, cross-training expertise and support in the Health, Disability, Mental Health, ERSEA and Front Desk service areas. Responsibilities include clerical and reception support for the administrative and program managers of the Foundation, including but not limited to, answering telephones, greeting visitors, making appointments and referrals, keying, filing, and data entry, application Intake, prescreening etc.

RESPONSIBILITIES/DUTIES :(including but not limited to):

  • Provides administrative support, including but not limited to:
  • Processes and completes data entry into several data platforms, i.e. child plus, TSG, Ready Roise, Every Day in-kind, etc.
  • Maintains current knowledge of program regulations and procedures.
  • Enters Assessment Forms, Health/Medical History Forms, Well Child Exams, and Enrollment Immunization records into SCF’s database system.
  • Provides input that supports the development and or revisions of the agency’s policies and procedures.
  • Prints resources, organizes and sets up health resource tables upon request.
  • Verifies and documents eligibility of applicants through interactive interviewing and fact gathering.
  • Accompanies manager to attend off-site meetings or events using personal or company vehicles.
  • Provides input that supports the development and/or revisions of the agency’s systems, policies, and procedures.
  • Actively participates in recruiting and outreach efforts that inform families with eligible children of the availability of program services.
  • Assists the Health Services Coordinator or Manager by monitoring by and completing data entry as well as providing any additional support as needed.
  • Scribes for various committee meetings internally and externally.
  • Processes medical record requests that are mailed to the agency.
  • Provides coverage as needed to Suite 100 Front Desk team for lunches, absences, or other schedule modifications. Suite 100 Front Desk duties include but are not limited to:
  • Greets and refers clients and visitors to the correct area or person.
  • Answers main telephone system, makes referrals, takes messages, and directs incoming calls appropriately.
  • Types and/or reproduces reports, forms, correspondence, checks, grants, and other material as generated by Foundation staff. Proofreads all work for accuracy and neatness.
  • Duplicates, collates, and prepares for the mailing of Foundation reports, lists, correspondence, grants, etc.
  • Maintains Foundation copy and fax machines.
  • Assists with pre-screening clients for all SCF program options.
  • Executes the Suite 200 Front Desk duties when needed duties include but are not limited to:
  • Greets and checks in all visitors and vendors to the 2nd Floor.
  • Contacts the correct department and/or person to announce the visitor’s arrival.
  • Answers the Suite 200 telephone system, takes messages and directs incoming calls appropriately.
  • Signs for all shipments and contact the Purchasing Coordinator to inform of shipment arrival.
  • Takes mail from Suite 200 to Suite 100 Program Assistants for distribution.
  • Types and/or reproduces correspondence or other materials generated by the Program Management or Administration team.
  • Duplicates collates, and prepares correspondence or other materials as directed by Program Management and/or Administration.
  • Assists with maintaining Program Management or Administration copy & fax machines.
  • Assists with onboarding or pre-employment meetings as needed.
  • May perform other duties as deemed necessary by Program Management or Administration Teams.
  • Miscellaneous duties
  • Some travel by car, bus, train, or airplane throughout the Las Vegas Valley including North Las Vegas, Henderson, or Boulder City as needed to accommodate client needs.
  • Adheres to SCF’s Written Safety Program including attending safety training sessions, reporting accidents/incidents per company procedures, and participating in maintaining a safe working environment including occasional participation in cleaning up accidents, spills, body fluids, or other safety concerns as directed by Management or Administration.

PHYSICAL REQUIREMENTS & WORKING CONDITIONS::

  • Must be able to work for long periods of time while maintaining concentrated attention to detail.
  • Must be able to sit at a table or desk for long periods of time with occasional standing, walking, squatting, or reaching.
  • Must be able to lift, carry, push, pull or otherwise move objects weighing up to 50 pounds with or without material handling equipment.
  • Must have the manual dexterity to use office equipment including but not limited to a copier, computer, keyboard, or phone keypad.
  • Should be able to drive personal or company vehicles for off-site meetings and/or events as directed by management or administration.
  • Must be able to navigate office, classroom, or clinic environments.
  • Must have the ability to hear and speak face to face, over the telephone, or in virtual meetings.

QUALIFICATIONS::

  • Education & Work Experience:
  • High school graduate or equivalent is required.
  • 6 months of clerical work experience is required.
  • Skills & Abilities:
  • Must maintain a positive, open, and objective attitude towards others.
  • Must be able to accurately type.
  • Must have a good working knowledge of English, grammar, punctuation, spelling, etc.
  • Must have the ability to operate standard office machines such as computers, tablets, printers, copiers, fax machines, etc.
  • Must have basic knowledge of Microsoft Office (Word, Excel, Outlook) programs.
  • Must have the ability to answer telephones and greet the public in a friendly and courteous manner.
  • Must have the ability to perform assigned duties with a minimum of supervision; identify problems and recommend solutions; interpret and apply policies and procedures within limits of authority.
  • Must have the ability to interact with tact and discretion with supervisors/managers, officials, employees, and the public.
  • Ability to speak in a clear and understandable manner and write legibly using the English language is a requirement.
  • Ability to maintain the highly confidential nature of incoming paperwork and information is a requirement.
  • Maintain a positive, open, and objective attitude towards others including but not limited to volunteers and interns.
  • Willing to engage, support, include and work with volunteers and/or interns on an on-going or as needed basis.
  • Must obtain a Las Vegas Metropolitan Police Department Work Card (Sheriff’s Card) and possibly a North Las Vegas Work Card (Sheriff’s Card) for Child Care prior to hire date and maintain for duration of employment.
  • Must submit negative TB results (One-Step Skin Test or Chest X-Ray) prior to hire date and for duration of employment.
  • Must have a physical performed and document submitted prior to hire date and maintain for duration of employment.
  • Must have the COVID-19 vaccine and be fully vaccinated prior to starting employment with Sunrise Children’s Foundation
  • Must acquire CPR/First Aid Training for Infant/Child/Adult within ninety (90) days of hire date and maintain through duration of employment.
  • Must pass pre-employment and random drug/alcohol testing and maintain a drug-free workplace.
  • Preferred:
  • - Bilingual (English- Spanish) speaking and writing skills preferred.
  • 1 year of clerical work experience is preferred.
  • Valid Driver's License & clean driving record must be maintained throughout the duration of employment with SCF.
  • Approval from SCF’s auto insurer to be added to the corporate auto insurance policy.
