We are currently seeking a Member Services Coordinator to join our team in a hybrid role in Lexington, Kentucky.

The Member Services Coordinator will serve as a vital and valued team member assigned 3-4 clients; committed to delivering high quality service to each team, client, and their members. The Member Services Coordinator will be responsible for providing support and coordination on conference and event activities; managing the member database, assisting with client communications and other various projects and tasks as assigned.

Major Responsibilities:
  • Provide executive level administrative, task-oriented support to multiple teams/clients.
  • Collaborate with other members of the assigned teams and clients.
  • Ensure data accuracy and security for assigned associations
  • Process conference registrations, merchandise orders, and membership applications/renewals, refunds, etc.
  • Generate membership, conference attendance, and other reports to help clients make decisions.
  • Identify and bring forward problems/issues using the data and information available to establish facts and make recommendations.
  • Support client conferences including creation of name badges, rosters, and other materials; manage and create registration and sponsorship forms; schedule and coordinate shipments, pack and ship materials, receive shipment upon return and manage inventory.
  • Provide support on special projects.
  • Travel to client conferences (2-4 times per year) to lead registration desk efforts, including but not limited to: on-site registration processing, attendee check-in, merchandise sales, and registration payments.
  • Work with internal finance team to ensure the timely, accurate production of financial reports as required.
  • Provide a high level of customer service and monitor and respond timely to all client inquiries and requests (phone, email, web form).
  • Ability to work overtime as needed.

Requirements



Are you Qualified?
  • Bachelor’s degree preferred
  • 2-4 years’ experience in customer service/support and/or executive administrative support.
  • Experience with Association Management Software (AMS), Customer Relationship Manager (CRM), or other database is a plus, but not required.
  • Proficient knowledge of Office 360/SharePoint and Microsoft Office Suites.
  • Self-starter, proactive in solving problems, self-motivated to meet deadlines and achieve goals
  • Adaptable/flexible; able to manage competing demands and changing priorities in a fast-paced role, multi-task, and able to handle regular interruptions.
  • Detail-oriented, organized and able to manage time and tasks
  • Effective and proactive communicator
  • High emotional intelligence
