UChicagoGRAD, a part of the Office of the Provost that supports graduate education across the University, is an innovative national model for preparing graduate students and postdocs to succeed while at UChicago and beyond. With teams focusing on admissions, fellowship advising, writing support and public speaking training, diversity initiatives, career exploration and planning, and administration, UChicagoGRAD works with campus partners to support students and postdocs at every stage of their academic careers and beyond. UChicagoGRAD functions as a one-stop shop for graduate students and
postdocs to access resources that support timely degree completion and to enhance professional preparation that helps them translate their degrees into a variety of careers. UChicagoGRAD works with academic departments and divisions as well as campus-wide offices to develop and implement outreach, recruitment, and yield efforts; graduate and postdoc-focused programs, workshops, and events; training and support tailored to UChicago graduate students and postdocs; and administrative practices and policies in support of graduate education.

Job Summary

The manager is responsible for coordinating and implementing events and programs sponsored by multiple teams within UChicagoGRAD. The manager will also oversee the daily operations of the Graduate Student Lounge and supervise the Graduate Services Specialists team of students who staff the Lounge and UChicagoGRAD reception. Finally, the manager will provide guidance and logistics support to student groups affiliated with the office including Graduate Student Council, the Diversity Advisory Board, and the International Graduate Student Advisory Board. The position calls for occasional evenings and weekends.
Responsibilities
  • Oversees the logistics of planning, producing, and executing large/complex University events.
  • Collaborates with UChicagoGRAD team members on promoting events, securing vendors, hiring student staff, and tracking attendance.
  • Creates and monitors event budgets and obtains estimates from vendors for related events. Works collaboratively with the UChicagoGRAD Operations team to initiate orders and reconcile payments in a timely manner.
  • Oversees daily operations for the Graduate Student Lounge, a dedicated space open to all graduate students for individual study, co-curricular collaboration, and socializing with peers.
  • Maintains an orderly and safe environment; coordinates with Facilities Services and the University Bookstore when needed; maintains and inventory of supplies; manages room reservation system.
  • Manages access to the Lounge via CBORD UChicago ID system; tracks usage and reports regularly through summaries and reports.
  • Supervises student employees including hiring and training; establishing and managing schedules; assigning duties; and ensuring execution of work.
  • Serves as a resource to graduate students on Graduate Council and advisory boards whose leadership consults with UChicagoGRAD.
  • Ensures a welcoming and inclusive environment and provides exemplary customer service for visitors to the Grad Student Lounge and the UChicagoGRAD office, and participants in sponsored programs.
  • Markets student activities programming throughout the year. Develops and implements protocols for evaluating the effectiveness of programs.
  • Advises, supports, and recommends concepts for programming to leaders of various organizations and programs.
  • Performs other related work as needed.

Minimum Qualifications

Education:
Minimum requirements include a college or university degree in related field.

Minimum requirements include knowledge and skills developed through 2-5 years of work experience in a related job discipline.

Education:
  • Bachelor’s degree (advanced Student Affairs degree strongly preferred).
Experience:
  • Relevant work experience.
  • Familiarity with the culture of a research university.
  • Familiarity with graduate education.
Technical Skills or Knowledge:
  • Familiarity with standard tools and software, such as MS Office suite, Google suite, etc.
