Job Description Overview

Auto Trakk currently has an opening for a Vehicle Title Administrator. This position reports to the Servicing Department Manager. The role of the Title Administrator is to manage, record, and report all aspects and requirements of vehicle title activity, including communication and collaboration with the Sales team, dealers, customers, state agencies, and other individuals and entities as needed. This position must be performed on-site at Auto Trakk’s headquarters in Montoursville, Pennsylvania.

Duties and Responsibilities

  • Ensure the vehicle titles and registrations are properly secured within published company standards and assists dealerships with corrections and the acquisition of duplicate titles.
  • Take proactive measures in communicating the status of outstanding titles (including regular reporting and monitoring via the Titles Dashboard and company email and escalate as appropriate to stakeholders and distribute timely written demands to dealers or other parties not in compliance with Auto Trakk titling requirements.
  • Work cross functionally with other departments, including Sales and Compliance to ensure outstanding titles and registration are pursued and received according to company requirements.
  • Communicate with DMV’s and titling companies regarding various automotive titles/registrations issues.
  • Facilitate and control the distribution of titles to financial institutions/custodians, dealers, customers, and automobile auctions.
  • Conduct outbound calls and follow ups to customers, dealerships, government offices, and other relevant parties.
  • Maintain title room organization and hard copy title files.
  • Manage the Title Float process in concert with Sales, Funding and Accounting Departments.
  • Other duties as assigned.

Auto Trakk’s hours of operation for Servicing are Monday-Friday 8:30 AM to 7:00 PM (ET) and Saturday from 9:00 AM to 2:00 PM (ET). This full-time position is based on a 40-hour workweek, generally Monday-Friday from 8:30 AM-5:00 PM, however, hours may be adjusted for business needs.

Requirements:
  • High school diploma or equivalent (GED).
  • Two to four years of experience with the vehicle title process.
  • Ability to communicate effectively both verbally and in writing, which requires knowledge of the structure and content of the English language.
  • Ability to operate and use a computer to perform all functions of the position, including document management software, web-based applications, and use of Microsoft Office Suite including Word (word processing), Excel (spreadsheets), Outlook (email), and Teams (video conferencing and chat).
  • Ability to use a multi-line phone system to speak with and listen to people on inbound and outbound calls with the use of a headset.
  • Operation of general office equipment for faxing, scanning, printing, and copying.
  • Knowledge of principles and processes for providing excellent customer service.
