Job Summary

The positions of this class are responsible for the efficient management, procurement, storage, issuance, and general logistical control of a wide variety of new and replacement spare parts, and materials for all city-maintained vehicular equipment and rolling stock.

Essential Job Functions and Minimum Qualifications

ESSENTIAL JOB FUNCTIONS

Maintains a large, computerized inventory control system requiring the checking and cross-checking of several documents.

Work requires adherence to procurement, warehousing and stock control rules and regulations to ensure that parts, equipment and supplies are purchased/expedited, received, stored and issued according to verbal or written instructions.

Work involves storing a wide variety of parts and equipment in an orderly fashion in order to facilitate inventory procedures, and to issue parts and equipment in a timely fashion.

Initiative and judgement are required in selecting parts to order, ordering parts, expediting parts, maintaining computerized inventory for a wide variety of items, and researching discrepancies between items on hand and the records system.

After a brief orientation period, the employee is expected to perform independently according to oral or written procedures.

Assignments include, but are not limited to:

Obtains general or specific information from mechanics or from equipment data plate information as to the parts and equipment required;

Researches a wide variety of parts books to obtain original, replacement or substitute parts and equipment;

Receives, organizes and stocks incoming parts and materials, and return ship as needed;

Maintains inventory records for a wide variety of parts; and may assist various crafts such as plumber and carpenter in procurement of necessary parts;

Obtains part quotes and processes requisitions and purchase orders through Munis.

MINIMUM REQUIREMENTS


Persons applying for this position should preferably have the following experience and/or training:

  • Minimum High School; Vocational school or College preferred
  • Three (3) years of work experience in a heavy equipment/automotive parts warehouse.
  • Good writing, communication, and math skills.
  • Competent with computers, Internet use, Microsoft Outlook, Excel, Word, etc.
  • Demonstrate the ability to perform the above-listed duties.
  • Possess and maintain a valid State of Alaska driver’s license throughout the duration of employment.
  • Obtain and maintain certification for forklift.

Knowledge, Skills, and Abilities

KNOWLEDGE, SKILLS, and ABILITIES

  • Ability to load, unload and move equipment and supplies using physical strength as well as specialized material-handling equipment.
  • Ability to establish and maintain effective working relations with supervisors, co-workers, and suppliers of materials for city use.
  • Knowledge of various vendors and alternate sources of parts and supplies for obsolete and semi-obsolete repair parts and components.
  • Ability to catalog and utilized illustrative parts books, cd rom and the internet.
  • Knowledge of or ability to learn emergency vehicle components and system functions such as fire engines, ambulances and fire pumps.
  • Ability to learn new programs, MUNIS for Fleet Inventory and requisition processing.
  • Basic knowledge of welding and steel stock supplies.
  • Tracking/follow-up with small equipment/tools repairs sent to outside vendors.
  • Ability to understand and carry out oral and written instructions and interpret plans, sketches and repair manuals.
  • Ability to work independently in the performance of regular working duties.
  • Ability to work any shift assigned, to work overtime and to work out-of-doors for extended periods under unfavorable weather conditions.
  • Provide a high standard of service to mechanics and other co-workers.
  • Assist mechanics as needed and provide technical information and advice.
  • Timely fill parts orders for mechanics and other divisions as needed.
  • Work well under pressure of deadlines.
  • Keep a clean and well maintained parts room, desk and work counters.
  • Willing and interested to learn new things.
  • Excellent communication skills
  • Good organizational skills; neat and orderly with paperwork and records.
  • Place and follow-up on orders by telephone, fax, and email.
  • Complete necessary quotes, requisitions and purchase orders as appropriate.
  • Provide delivery dates, status of orders, and back order information to supervisor and mechanics in a timely manner.
  • Assist in physical inventory, routine maintenance and cleaning.

Work Environment and Physical Demands

WORK ENVIRONMENT:
The work is typically performed in an office and outdoors. The employee may be exposed to noise, dust, dirt, machinery with moving parts, and cold or inclement weather. The work may require the use of protective devices.

The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
