TH Instructional Support Assistant - Tissue Typing Laboratory

Position Summary

At Stony Brook Medicine, this TH Instructional Support Assistant plays a vital role in the Tissue Typing (Histocompatibility & Immunogenetics) laboratory. This ancillary department`s main purpose is to directly support Stony Brook Medicine’s Bone Marrow-Hemopoietic Stem Cell & Kidney Transplantation programs and their patients. The TH Instructional Support Assistant will be responsible for a variety of duties including but not limited to specimen receiving/shipping, performing a variety of daily, weekly, monthly quality assurance tasks, maintaining vital patient/donor records, attending weekly /monthly recipient selection meetings and serving as a liaison between the Histocompatibility & Immunogenetics laboratory and the aforementioned transplantation departments. Problem Resolution as appropriate. This TH Instructional Support Assistant will work under the direction of the TH Associate Technical Director of the Tissue Typing (Histocompatibility & Immunogenetics) laboratory.

Duties of a TH Instructional Support Assistant -in the Tissue Typing Laboratory may include but are not limited to the following:

  • Serves as a liaison between the Histocompatibility & Immunogenetics laboratory of the Department of Laboratories and the Renal Transplantation department. This is accomplished by attending weekly and monthly Renal Transplantation department committee meetings, recording and sharing the meeting minutes with laboratory staff and updating patient laboratory/testing records (file cards, folders & lists) from information obtained at these meetings. Will bring recommendations for problem resolution to the SL-5 Associate Technical Director and laboratory staff for discussion and may participate in resolution.
  • Provides (bi-weekly) the Renal Transplantation department team coordinators with recipient forms, cross-match forms & donor report forms once reviewed and signed by the lab director.
  • Will maintains a current and accurate listing (updating when changes occur) of the dialysis centers (including addresses, phone #’s & contact information) which serve our patients and sends our patients specimens to the Histocompatibility & Immunogenetics laboratory for testing.
  • Will follow-up with dialysis centers to resolve issues when problems arise such as receiving mislabeled or hemolyzed specimens.
  • Utilizing the Histocompatibility & Immunogenetics laboratory standards and regulations, maintains and modifies as necessary, an internal network file system for documenting when the renal patients have been tested for the identification of HLA antibodies
  • The transporting of specimens to and from the Specimen Receiving and Histocompatibility laboratory departments, according to all established protocols. Problem resolution as appropriate.
  • Assists with the Living -Related Donor/Recipient Specimen Storage project. Duties include but not limited to: specimen processing, labeling. storage and maintaining a current donor/recipient listing. Will notify the Renal Transplantation department and /or the Tissue Typing lab staff when any specimen collection/processing issues occur.
  • Assists with “out of state” Living Donor program by providing the assigned Patient Care Manager with all the information and materials (forms collection tubes, mailing instructions etc.) required for shipping specimens to our laboratory for testing. According to relevant standards and regulations.
  • Performs a variety of daily weekly & monthly quality assurance activities including but not limited to monitoring/documenting laboratory temperatures, testing of eye-washes, cleaning refrigerators/freezers & preparing disinfecting solutions (Bleach-Rite). Responsible for all regulatory record keeping for the Histocompatibility & Immunogenetics laboratory regulatory inspections.
  • Uses the United Parcel Service (UPS) software for the shipping and receiving of specimen blood collection shipping containers from the dialysis centers. Responsibilities include: the generation of UPS shipping labels, preparation of shipping packages, transport of shipping packages to UPS pick-up location. Responsible for the ordering of UPS shipping supplies and the tracking of all packages shipped from laboratory. Responsible for problem resolution as appropriate.
  • Will perform the following specimen receiving duties: out-patient registration (HIS-Cerner), test ordering /accessioning (LIS-Sunquest) and aliquoting patient blood specimens into secondary specimen storage containers, carefully ensuring they labelled properly and stored in the correct storage environment (refrigerator/freezer). Responsible for problem resolution as appropriate.
  • Answering telephone calls to the Histocompatibility & Immunogenetics laboratory, relaying messages and providing excellent customer service for all inquiries (e.g., specimen collection requirements, shipping instructions etc.). Also provides problem resolution as appropriate.
  • Responsible for entering the monthly on-call schedule (Clin Lab Techs on-call) in the Stony Brook Switchboard paging (SBUH Spok web) program. Follow-up on any scheduling issues. Brings unresolved issues to the attention of SL-5 Associate Technical Director as soon as possible.
  • Performa a variety of clerical functions included but not limited to mailing, copying, faxing, scanning and printing.

Qualifications

Required Qualifications: Associate’s degree. At least 1 year of experience in an administrative capacity in healthcare type setting. Competency in computer productivity applications, e.g., MS Office (Word, Excel). Excellent interpersonal, communication and written skills. Excellent problem-solving skills.

Preferred Qualifications: Bachelor’s degree. 3 or more years of experience in an administrative capacity in healthcare type setting. Experience with hospital (HIS) and or Laboratory (LIS) information systems/applications including patient registration, test ordering, & test accessioning. Knowledge in laboratory regulatory agencies such as NYSED, NYSDOH, CLEP, CAP, JC, ASHI, FDA, etc. regulatory & accreditation standards. Knowledge of quality assurance functions.

Anticipated Pay Range:

The starting salary range (or hiring range) for this position has been established as $40,500 - $47,625.

The above salary range (or hiring range) represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting.

In addition, all full time UUP positions have a $3,026 location pay.
