Position Summary


Support SMT Jacksonville’s Human Resources efforts by handling a wide range of responsibilities. The primary functions will include recruiting, benefits administration, leave management, compliance and HRIS support. Acts as a partner, consultant and advisor to management by developing and driving strategies to recruit and retain talent in a highly competitive market.


Due to the highly interactive nature of our organization, this role is primarily in-office, with the ability to work from home on occasion. THIS IS NOT A FULLY REMOTE POSITION.


Position Responsibilities


Recruiting

  • Work closely with Managers, Directors and VP’s to better understand open positions, and use that information to create clear and concise job postings for both internal and external openings.
  • Research appropriate advertising venues to enhance candidate interest in SMT
  • Leverage all aspects of online sourcing including job posting, job board mining, internet sourcing, and social networking
  • Create a positive candidate experience through the entire recruiting and selection process.
  • Build and maintain professional relationships with universities, colleges, and organizations that will enhance our recruiting efforts
  • Represent SMT in a professional manner at recruiting efforts and other industry networking events
  • Partner with agencies and third-party vendors to provide the right balance of cost and high-quality talent
  • Administer specific department or skill-based pre-employment evaluations
  • Ensure interviewer preparedness and appropriate scheduling of resources for effective interviews
  • Ensure appropriate verification of personal information by conducting background checks and references
  • Create detailed documentation of candidates based on management feedback
  • Manage New Hire Orientation program to appropriately introduce new employees to SMT, and our culture, benefits and policies.


Benefits Administration

  • Manage and administer benefits programs including health, wellness, retirement plans, PTO, ETOP, life insurance, disability insurance and other company programs as part of the SMT employee reward & recognition strategy
  • Act as benefits expert, provide employees with accurate plan information regarding eligibility, provisions and related items. Assist employees with the resolution of benefit issues when necessary.
  • Coordinate new employee enrollment and open enrollment periods.
  • Ensure that SMT Jacksonville complies with all ACA rules, regulations and procedures.
  • Monitor plan specifics and ensure that all communication, enrollment, administration, reporting and implementation methods and processes comply with regulatory and policy requirements.
  • Provide Creditable Coverage and Proof of International Coverage documents to staff as requested
  • Maintain all benefits records, and prepare appropriate employee communications
  • Work with provider representative to obtain plan information and respond to employee inquiries or concerns.
  • Audit and edit benefit bills, prepare internal reports and analyze data as requested
  • Assist with Benefit Renewal Process


Leave Management

  • Manage all leave of absence requests, including FMLA, ADA, Workers Comp, etc.
  • Prepare all required legal and internal process documentation for employees and managers
  • Work closely with managers on time sheet records, time off requests and employee details
  • Ensure that changes are communicated internally, and that appropriate compensation changes are accurately calculated
  • Record, report and manage all workers compensation injuries to insurance provider and communicates work limitations to managers.


  • Manages all processes, documentation, requests and balances for employee leaves of absences, including FMLA, ADA, Workers Comp, etc.
  • Prepare all required legal and internal process documentation for both employees and managers
  • Work closely with managers to keep time sheet records, time off requests and employee details up to date.
  • Ensure that changes are communicated internally, and that appropriate compensation changes are accurately calculated
  • Records, reports and manages all workers compensation injuries to insurance provider and communicates work limitations to managers.
  • Remain up to date on required office compliance posters
  • Work with HR Director to update the SMT Jacksonville handbook with revised policies
  • Remain abreast of, and in compliance with all OSHA reports, requirements and regulations
  • Assist in keeping all HR and employee related files properly maintained and ensure legal compliance of stored forms (i.e.-I9’s, Immigration forms, etc.)


HRIS

  • Manage the use of the Jacksonville HRIS System and proactively respond to issues and concerns
  • Act as the main Jacksonville contact for HRIS related policies and procedures, such as PTO policy (accruals, rollover, etc.), ETOP plan, Recovery, etc.
  • Assist employees with account management: logon’s, password resets, account creation, etc.
  • Responsible for the input of information into the HRIS system for new hires, salary changes, personal information, tax information, terminations, benefit changes and other related information.


Compliance

  • Remain up to date on required compliance posters
  • Remain abreast of all OSHA, Workers Comp and internal insurance requirements and regulations, and aid in reporting process
  • Manage the unemployment claims process for SMT Jacksonville


HR Administration

  • Assist in keeping all HR and employee related files properly maintained and ensure legal compliance of stored forms (i.e.-I9’s, Immigration forms, etc.)
  • Respond to verification of employment requests
  • Assist with various Human Resources and Administrative projects, deliverables and special initiatives when appropriate.
  • Work with HR Director to update the SMT Jacksonville handbook with revised policies


Education Requirements


  • Bachelor’s Degree in Business, Human Resources or related field required.


Experience Requirements


  • General Human Resources experience required
  • Recruiting, staffing and/or interviewing experience required
  • Benefits administration experience required
  • Previous experience dealing with HR compliance and reporting preferred
  • ADP Worksource Now HRIS system preferred
  • Employee Relations, Training, Payroll experience helpful
  • Leave management experience highly beneficial

  • Must be able to travel occasionally
