Job description
This position is responsible for performing multifaceted financial accounting and bookkeeping in the grants and contracts (restricted funds) areas such as ledger maintenance, financial analysis, fund reconciliation, preparation of journal entries, and fiscal inventory control. Analyzes complex finance and operation data, prepares management reports, financial statements and projections. The position supports the grant and sponsored project Principal Investigators and Project Directors in the development, execution, reconciliation, reporting, and closure of their budgets and year- to-date financial activity. This position is primarily based out of the NMHU campus in Las Vegas, NM, however other locations near one of the NMHU Centers (Albuquerque, Farmington, Rio Rancho, Santa Fe) or remote work within two-hour drive of Las Vegas, NM may be considered.
Duties and Responsibilities
  • Prepare financial reports from standard operating statistics and/or financial data;
  • Analyze and review budgets and expenditures for local, state, federal and private funding;
  • Analyze revenue and expenditure trends, recommends appropriate budget levels, and ensures expenditure control;
  • Review and analyze grant contracts for implementation in the grant module including final award amount, indirect cost calculation, indirect cost account exclusions, reimbursement formulas, and cost share calculations;
  • Develop accounting applications and oversees the input and handling of financial data and reports;
  • Investigate and resolve problems related to funds, budgets and expenditures;
  • Support the development, implementation and management of fiscal systems and procedures;
  • Monitor revenue and expenses for departmental or unit accounts;
  • Monitor the Restricted Funds associated with grants and sponsored projects;
  • Ensure expenditure control and compliance with funding and reporting requirements, university policy, state, and federal and standard accounting procedures;
  • Constructs advanced spreadsheet applications and generates reports;
  • Analyze, reconcile, balance and maintains accounting records;
  • Develop budgets and special financial reports;
  • Reconcile labor and fringe grant expenses to contracts adn other supporting documentation;
  • Coordinate with PIs and HR/Payroll if labor redistribution is necessary;
  • Reconcile grant budget during fiscal year-end budget roll process with the Business Office;
  • Will participate in audits and prepare audit paperwork;
  • Coordinate the preparation of regularly scheduled cost reports, analysis, grant inception to date reconciliation, studies, inventories, and financial statements for local, state, federal and private funding sources (monthly, quarterly and yearly);
  • Maintain a consistent review/reconciliation cycle between PIs and ORSP that coincides wit the Business Office billing and drawdown cycle;
  • Process paper documents utilizing the imaging and electronic document management system;
  • Work directly with multiple Principal Investigators in support of the grants and sponsored projects associated with restricted funds;
  • Communicate and coordinate with funding agencies, as required;
  • Work closely with the Business Office in all matters related to Restricted Funds;
  • Support the Principal Investigators with the close out of a grant with the university and the funding agency;
  • Proficient use of Ellucian Banner and Grants module;
  • Maintain regular attendance;
  • Perform other job-related duties as assigned.
Minimum Job Requirements
EDUCATION:
  • Bachelor’s Degree in Business or a related field.
EXPERIENCE:
  • Two (2) years’ experience directly related to the duties and responsibilities with Accounting degree or at least twelve (12) hours of university-level accounting coursework, or three (3) years’ experience directly related to the duties and responsibilities with related degree if fewer than twelve (12) hours of university-level accounting coursework.
  • Three (3) years’ experience using budget management tools (spreadsheets or other related applications) on a routine basis.
Preferred Qualifications
  • Experience working with Ellucian Banner.
  • Experience in education setting.
  • Experience in planning and managing operating budgets.
  • Graduate degree in Business or related discipline.
Special Conditions for Eligibility Knowledge, Skills, and Abilities
  • Knowledge of federal and state financial regulations and university financial policies and procedures;
  • Knowledge of modern accounting applications;
  • Knowledge in working with Ellucian Banner a plus;
  • Knowledge of Microsoft Office applications, including Access, Excel, Word and Outlook;
  • Knowledge of generally accepted accounting principles and governmental accounting standards;
  • Ability to communicate effectively, both orally and in writing;
  • Ability to analyze budgetary expenditures for compliance with funding agencies’ budgets, policies, and procedures;
  • Ability to research and analyze data and reports;
  • Ability to provide exemplary service to customers, in and outside the University;
  • Skill in utilizing ten-key by touch in an accurate, fast manner;
  • Ability to work effectively in a team environment.
